Primary Purpose of Position:

We are seeking a self-motivated and experienced Health Information Management (HIM) Specialist to join our Operations team. Reporting to the Senior Manager of Operations Systems, the HIM Specialist will play a crucial role in maintaining the integrity of medical records.

In this role, the HIM Specialist will ensure that all document images and physical documents are accurately loaded into the appropriate charts, maintaining the highest standards of medical record integrity. A key focus will be on HIPAA compliance, ensuring that all batch exceptions and batches are processed correctly via the third-party company.

The HIM Specialist will also be responsible for monitoring and completing all queues, managing interface messaging related to these queues. Additionally, they will establish and maintain relationships with all sites and clinical personnel to minimize faxing, scanning, and HIM-related issues, providing support as needed.

A significant part of the role involves assisting end-users in the most optimum use of key applications for health information management, providing necessary training and support. This position requires a proactive individual with a strong understanding of HIPAA regulations and a commitment to maintaining the accuracy and confidentiality of health information.

Essential Functions:

·Queue Monitoring: Monitor HIM-related queues in the EPIC system, identifying trends and patterns to resolve issues.

·Chart Management: Merge and unmerge charts as requested, ensuring accurate patient records.

·Consent Management: Unlink CareEverywhere consent when necessary.

·Data Process Understanding: Maintain a thorough understanding of EPIC data processes and correct interface errors from external agencies.

·Overlay Corrections: Perform overlay corrections and review errors and changes in patient demographics.

·Record Management: Maintain a low volume of unlinked records in the work queue.

·Information Loading: Load releases of information into patients’ charts and documentations from outside agencies, including lab results, medical imaging reports, and consult notes.

·Chart Corrections: Manage medical chart corrections, including note removals, patient dismissals, advisories, flags, and marking patients as employees, VIP, or confidential.

·Immunization Management: Remove or relocate immunizations within patient records.

·Medication Accuracy: Remove inaccurately reported medications from patient records.

·Result Note Updates: Update content of result notes, tie consult notes to patient referrals, and send for provider review.

·Communication and Collaboration: Foster an environment of open communication and cross-functional collaboration.

·Training and Meetings: Attend and complete all required training and participate in meetings as needed.

·Perform additional duties to support NSCH’s mission as assigned.

Requirements

Requirements and Qualifications:

· A minimum of two (3) years of experience in healthcare or related field with a minimum of one (1) year in a Health Information Management capacity.

· Proven experience in HIPAA and medical charting compliance.

· Proficiency in Microsoft Office applications (Excel, Word, PowerPoint, Outlook, etc.) required. Experience with electronic medical records systems required.

· Excellent verbal and written communication skills, attention to detail and overall organizational skills.

· Proven ability to prioritize and execute tasks in a fast-paced environment, while working collaboratively with medical staff and other clinical operations partners.

· Demonstrated effective analytical and creative problem solver.

· Demonstrated ability to build relationships and lead in a matrixed organization.

As a health center, NSCH ensures that all employees comply with the annual requirements for vaccinations and health screenings.
