The Food & Beverage Administrative Assistant is responsible for providing administrative support to all Food & Beverage Outlets and Banquets. The Administrative Assistant will take on the responsibility of the Colleague relations of outlet staff. They will assist in menu upkeep, printed collateral, administrative tasks and other related items.

The Food & Beverage Administrative Assistant shall strive to provide exceptional service to both internal and external guests at all times.

Essential job Functions:

The Food & Beverage Administrative Assistant is responsible for providing administrative support to all Food & Beverage Outlets and Banquets. The Administrative Assistant will take on the responsibility of the Colleague relations of outlet staff. They will assist in menu upkeep, printed collateral, administrative tasks and other related items.

The Food & Beverage Administrative Assistant shall strive to provide exceptional service to both internal and external guests at all times.

Essential job Functions:

  • Prepares PO’s and process invoices and requisitions through Birchstreet procurement management system

  • Assist with ordering uniforms and overseeing inventory par levels

  • Menu edit and design for all food and beverage outlets and events

  • Assist with marketing pieces internal and outside (in conjunction with marketing)

  • Works with music booking agent to book and confirm all F&B Entertainment as needed

  • Submits monthly Food & Beverage accruals

  • Inputs menus into Micros

  • Processes weekly payroll tip report, update payroll for managers as needed

  • Assists with banquet check processing

  • Reach out to vendors for service, pricing, etc.

  • Ordering of office supplies & menu paper

  • Performs monthly audits of online menus, outlet printed collateral, and digital F&B related

  • Attends mandatory department meetings and appropriate division meetings

  • Manages emergency kit for department

  • Communicates all pertinent information to the outlet teams

  • Ensures team submits weekly manager schedule

  • Attends weekly resume meeting as needed

  • Completes competitive set analysis as assigned by Director of Events / Director of F&B

  • Always maintains a professional demeanor and attitude

  • Reports to work on time and according to posted schedule

  • Maintains a professional appearance.

  • Performs other related duties as assigned

Qualifications:

  • Must be able to accurately follow instructions, both verbally and written

  • Must be highly detailed orientated

  • Must have excellent computer skills

  • Must have strong working knowledge of Microsoft Office programs

  • Must have excellent listening skills

  • Must possesses excellent communication skills

  • Must be professional in appearance and demeanor

  • Must always ensure a teamwork environment

  • Ability to work a flexible schedule that may include evenings, weekends and holidays

  • Must have the ability to deal effectively and interact well with vendors and Colleagues

  • Must have the ability to resolve problems/conflicts in a diplomatic and tactful manner

  • Must have a passion for creating an exceptional experience for all guest

  • Must be able to stand and walk throughout the shift

  • Must be able to occasionally lift and carry up to 25 lbs. at shoulder height and push/pull up to 75 lbs.

  • Must be able to perform simple grasping, fine manipulation, and repetitive hand & arm movements frequently; squeezing and overhead reaching occasionally

  • High school diploma or equivalent required.

  • 2-3 years prior hotel or restaurant experience a plus.

  • Is a team player and interacts with all guests and fellow Associates in a positive and friendly manner.

  • Customer Service and Food service knowledge preferred.

  • Ability to multi-task and adapt to changing guest needs.
