JOB SUMMARY:
The Emergency Department Administrative Associate works autonomously and collaborates with unit leadership to support staff and department operations. Through strong administrative skills and teamwork, the Admin keeps the unit organized and on track.
Successful Admins are flexible, adaptable, and comfortable changing hats and responsibilities to meet the evolving needs of the Emergency Department throughout their day. The Admin should be proficient at navigating different technologies and programs, including all Microsoft Office applications, Teams, Access, Canva, and more.
The ED team reflects the communities we serve, so employees must be comfortable working and interacting with many different types of people in an open, collaborative environment. Strong communication and a team-oriented focus is essential for success.
Coordinates and performs department/unit administrative activities including but not limited to dissemination of information to staff, customers, clients, vendors, patients and families. Coordinates functions required to ensure smooth operations, plans and completes projects within scope of responsibility and works with external, inter and intra departmental teams to support department/unit. Provides training and orientation for new staff and troubleshoots office technologies.
Responsibilities:
The Admin provides business logistics support and maintains an overview of happenings of the Emergency Department through:
Primary office phone triage
Employee file management and electronic file organization, including onboarding and termination paperwork, leave of absences, and performance management documents
Maintaining up-to-date licensure, certifications, and competencies for the unit
Distribution list management, including phone lists, Outlook groups, and emergency notification systems
Recording minutes for all-team meetings
Coordinating with Hospital Unit Clerks for unit needs
Ordering, including office supplies, paper forms, and Iron Mountain
Mail and locker management for unit
Strong digital literacy to assist with tasks like electronic file transfers to Microsoft 365 and scheduling in API
Employee rewards, engagement, and recognition celebrations
Updating unit display boards, including Daisy Board/NRC, CPEN Board, Employee of the Quarter, and staff photos
Weekly department newsletter
Strong Mircrosoft Office, Constant Contact and Canva
REQUIRED SKILLS:
Adept in technology
Outstanding written and verbal communication skills
Resourceful
Meticulous attention to detail
Exceptional time management skills
MINIMUM QUALIFICATIONS:
High School Diploma, GED, or Equivalent
2 Years of experience
Proficient knowledge of Microsoft Office products including Word, Excel, Outlook PowerPoint and Access
Competent English grammar and composition skills
CA Driver's License required for Plant Operations Maintenance (POM) employees only
PREFERRED QUALIFICATIONS:
Associate's Degree
3 Years of experience
Typing at 50 WPM
Schedule:
Full-time, 40 hours per week
Monday - Friday
Choice of 8:00 AM - 4:30 PM or 9:00 AM - 5:30 PM
The expected hiring range for this position is $23.10 to $31.77
