Job Title: Executive Assistant II

Pay Rate: $28.50/Hr - $34.70/Hr

Duration: 24 Months on W2

Location: San Diego, CA, United States (Onsite)

Job Summary:

We are seeking a highly skilled and experienced Senior Executive Administrative Assistant to provide advanced administrative support to upper executive-level employees within our organization. The ideal candidate will apply extensive knowledge of job skills, company policies, and procedures to complete complex and specialized assignments effectively and creatively. This position requires considerable judgment, initiative, and technical knowledge to resolve problems and develop recommended solutions.

Responsibilities:

  • Perform tactical and strategic administrative support tasks for upper executive-level employees.

  • Maintain key records and compile data for reports.

  • Handle administrative tasks associated with the budget process.

  • Schedule executive appointments and meetings, and maintain calendars for upper executive-level employees.

  • Answer, screen, and route telephone calls for upper-level executives.

  • Prepare and edit executive presentations and expense reports.

  • Make travel arrangements for executives.

  • Mentor and lead the general administrative staff within the department or division.

  • Coordinate administrative work within the department/division and collaborate with other departments/divisions and companies.

  • Recognized as the top administrative employee in the department or division.

Education and Experience Required:

  • High school education or equivalent; some college-level education highly preferred.

  • Minimum of 7+ years of general administrative experience, or equivalent combination of experience and college-level education.

  • Senior/advanced general administrative skills/knowledge.

  • Experience in supporting multiple employees' administrative needs.

  • Advanced software skills as required by the department.

Key Skills:

  • Excellent organizational and time management skills.

  • Strong communication and interpersonal skills.

  • Ability to handle multiple issues/projects simultaneously.

  • Proficiency in Microsoft Office Suite and other relevant software.

  • High level of discretion and confidentiality.
