The Federal Reserve Bank of San Francisco is seeking a Lead Operations Support Specialist to join their Facilities Management and Environmental Health and Safety (EHS) Support Team. As a Lead Operations Specialist, you will provide dedicated administrative support to a team of Construction Project Managers for ongoing critical construction and remodel work across the 12th District. This position will report directly to the Business Operations Manager and work closely with our Construction Managers to ensure all projects and deliverables are executed efficiently, effectively, and on time. This role will provide leadership and oversight to 3rd party administrative staff and will work very closely with internal and external stakeholders ensuring effective communication and coordination of project elements. This role will lead and assist special efforts and projects in support of operations.

Our ideal candidate is an experienced administrator of business process, proficient in necessary software applications, and possesses solid acumen with an acute attention to detail. Candidate should be self-driven, ambitious, with an ability to lead effectively and collaborate with all levels of stakeholders across all industries.

Location: Candidate must reside in a commutable distance to our Salt Lake City, Los Angeles, San Francisco, Phoenix, or Seattle locations.

Highlights of Responsibilities:

  • Provide dedicated support to the Business Operations Manager, Facilities Managers, Construction Managers, and Planners for the Federal Reserve Bank Facilities Management and EHS group to fulfill operational support deliverables.

  • Lead and assist processes and efforts in support of our construction operations.

  • Provide leadership and oversight to 3rd party administrative staff.

  • Administrative duties including but not limited to contract, invoice, and procurement processing, minute taking, scheduling meetings, preparing presentations, etc.

  • Perform cost and spend analysis to identify cost effective solutions for existing and future contracts.

  • Work closely with our internal and external stakeholders, project teams, contractors, and maintain vendor relationships to ensure project continuity.

  • Assist in the oversight of all aspects of project duties including budget, contracts, invoicing, and change orders.

  • Assist with and potentially lead project processes such as bid walks, RFPs, escorting of contractors, and other related activities.

  • Develop, maintain, manipulate, and analyze spreadsheets and databases for department, extracting data from other systems as necessary; develops metrics to track performance.

  • Analyze current program processes, procedure, and applications to identify and mitigate obstacles and inefficiencies for better program outcomes.

  • Generate and deliver reporting from data analysis and research.

  • Provide high level project reporting and updates to all level of staff.

Requirements :

  • Associates degree preferred

  • 4+ years of relevant work experience

  • Strong proficiency in MS Office Suite

  • Demonstrated ability to oversee and execute multiple diverse projects and assignments timely

  • Proven ability to collaborate, build relationships and influence individuals at all levels

  • Strong organizational skills with the ability to perform well under pressure while managing multiple priorities with competing demand for resources.

  • Excellent written, oral, and interpersonal communication skills

  • Some Travel may be required (10%)

Base Salary Range: Min: 78,200.00 - Mid: 101,700.00 - Max: 124,900.00 (San Francisco Salary Range)

Final salary and offer will be determined by the applicant’s background, experience, skills, internal equity, and alignment with market data
