  • Experience in customer service troubleshooting needs

  • Experience in answering multi-line phone using professional phone etiquette

  • Ability to prepare concise and grammatically correct correspondence

  • Ability to work in a collaborative environment and work independently

  • Can occasionally work outside of normal business hours

Preferred Qualifications

  • Bachelor’s Degree or equivalent experience

  • Knowledge of Texas State University academic policies and procedures

  • Experience working with Banner, Canvas, Social Media

  • Experience with recruitment and willing to occasionally work outside of normal business hours

Job Description

Responsible for providing administrative and general clerical support to management/staff within assigned division/department or unit.

Job Duties

REGISTRATION

  • Oversees online override requests for undergraduate and graduate online courses

  • Collaborates with academic advisors and other university offices to address student issues related to registration, probation, admission, transfer orientation dates, etc.

  • Working with online program coordinators with registration requests and tracking data

    PROGRAM MANAGEMENT

  • Maintain online student database of OWLS undergraduate students and graduate students

  • Maintain online alumni database for both the undergraduate and graduate students for recruitment and other department data

  • Assist with monitoring multiple OWLS email inboxes

  • Answer student inquiries via phone, in-person, and online regarding the undergraduate/ graduate programs

  • Manage filing system to be updated, electronic, etc.

    OWLS COURSES / SOC SUPPORT

  • Maintain current course inventories for both the undergraduate program and graduate program

  • Monitor teaching preferences for online faculty including releases, grants, and workloads

  • Keep records of course history and online course updates

  • Assist with CIM / PIM systems including monitoring deadlines, requests, workflows, and statuses

  • Participate in Online Course/Faculty Scheduling and update CLSS

    COORDINATOR SUPPORT

  • Assist with BAAS Coordinator with filing, data entry, reports, memos, etc.

  • Assist Graduate Advisor with comprehensive exams, degree updates, etc.

  • Assist PLA Coordinator with award memos, DAR updates, etc.

    OUTREACH / RECRUITMENT

  • Attend fairs, workshops, presentations, Bobcat Days, and other events (may include weekends) to grow online enrollment when needed

  • Creating content for social media

  • Creating online program handouts, flyers, promotions, and more

    TECHNOLOGY

  • Compiles storage of files, records, photo banks, and video of departmental events in shared drive

  • Assisting 10+ adjunct faculty with Zoom meetings, trainings, and online needs

  • Assist with maintaining Department Website

  • Canvas assistance for department, online students, and online faculty

  • Managing Canvas Vault that includes all online courses

  • Managing Department social media

  • Oversees Textbook system for submissions for online courses

  • Oversees Evaluations for online courses

    OTHER

  • Assist with front desk and department needs including coverage, student employee supervision, and other duties assigned
