FirstService Residential Assistant Community Manager in San Ramon, California

Job Overview:

The Assistant Community Manager in the San Ramon office supports the Community Managers with assigned portfolio in all aspects of running the Association. The associate interfaces with vendors related to security patrol, landscape maintenance, and office administration. They answer resident questions, resolve issues, and plan and support community activities. Knowledge of Excel and Word will aid in the completion of various administrative duties and reports. A professional appearance, and a friendly, helpful demeanor is required.

Compensation: Â $23-25/hr

FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.

Your Responsibilities:

  • Take client calls and address issues within 24 hours.
  • Produce requested reports and assemble Board Packets in a clean, orderly, and professional fashion.
  • Provide "Buddy System" backup for Front Desk Staff during rest periods, lunch breaks and absences.
  • Consistent use and maintenance of Connect.
  • Coordinate move in orientations as required. (Welcome Binders)
  • Transcribe and type documents and letters as required.
  • Fax and/or scan and email documents as requested.
  • Update and generate all required association and management reports.
  • Coordinate and process all required meeting minutes, compliance letters and monthly newsletters. Upload to Connect and SmartWebs.
  • Coordinate all meeting logistics as required.
  • Coordinate resident events as requested.
  • Manage and process all income as required.
  • Monitor and address resident violations as required.
  • Act as backup when CM is on vacation, sick days, or out of office.
  • Organize and maintain all homeowner and administrative files & perform annual association file cleanout in accordance with company standardized hard copy and electronic system.
  • Assist CM in administrative duties as required.
  • Maintain an organized workspace.
  • Complete company training as assigned, attend all mandatory company functions and adhere to FirstService Standards of Operation.
  • Make payroll entries each day in accordance with employee handbook.
  • Must perform all Front desk/Customer Service Representative responsibilities as required.
  • Other duties as assigned.

  • Strong ethical practices.
  • Excellent attendance and punctuality.
  • Possess excellent written and oral communication skills and is proficient in English;Â other languages are a plus.
  • Effectively communicate with the Board, Homeowners, or Visitors through written and verbal correspondence.
  • Demonstrates awareness of variables which could affect associate retention and/or morale.
  • Proficient in Microsoft Office applications at an intermediate level; including MS Word, Excel, PowerPoint, Outlook, and Publisher.

Education & Experience:

  • Must have a minimum GED or High School Diploma; two (2) year or four (4) year college degree preferred.
  • Community Management experienced preferred.

  • Must be able to lift 25 lbs.
  • Must be able to sit for extended periods of time
  • Work duties may require the ability to stand or walk on hard surfaces for frequent and prolonged periods of time.
  • Must be able to effectively place and receive telephone calls, use voicemail system, and copy/fax machine.
  • Work is performed in a variety of environmental conditions, with exposure to outdoor temperatures, weather variations, traffic and equipment noise, equipment vibrations, vehicle and/or chemical fumes, chemicals such as cleaning solvents and grease, machinery and their moving parts and dust.
  • Must have finger dexterity for typing/using a keyboard.

Tools & Equipment Used:

  • Have reliable transportation, a current California driver’s license, and the current state mandated vehicle insurance.

Travel:

  • Up to 10%
