Do you have experience working as an administrative assistant with executive exposure? As a Senior Administrative Specialist, you will provide day-to-day, high-level administrative support for the Director of Solid Waste. In this role, your work focuses on clerical, internal financial, and customer service-related duties which help support the department’s vision and mission to deliver exceptional solid waste services to our community that are safe, reliable, cost-effective, convenient, and sustainable. Provide administrative, financial, and clerical support to the department director, including scheduling and coordinating appointments and maintaining calendars (meetings, scheduled leave, etc.).
Respond to complex or high-priority issues referred by commissioners, management, customers, and consultants.
Facilitate and prepare responses to the Board and/or administrative assignments.
Interface with management and other agencies/departments to collaborate, interpret, and provide detailed information related to solid waste operations.
Prepare eGenda packets, monitors contracts for compliance with Administrative Directives, and maintain the contracts tracking database.
Responsible for entering procurement items such as: solicitations, waivers, sole source, single source, exemptions, etc.
Serve as a lead for records retention management efforts, including compliance with public records requests and Sunshine Laws.
Responsible for gate access system card distribution and access management.
Support various financial functions, including purchase card coordination and purchase order requests.
Support various business functions, including conducting research, drafting ordinances, memos, and resolutions, preparation of legal documents, and composing, finalizing, and/or processing correspondence, spreadsheets, compliance reporting documents, asset management inventorying, etc.
Work Hours: Monday - Friday, 8:00 a.m. - 5:00 p.m.
About You
Minimum Qualifications:
An Associate's Degree from an accredited college or university in Business Administration or related field AND four (4) years of experience in administrative experience with some executive exposure.
-OR- Bachelor's Degree from an accredited college or university in Business Administration or related field AND two (2) years of experience in administrative experience with some executive exposure.
-OR- Six (6) years of experience in administrative experience with some executive exposure and managers discretion.
Preferred Qualifications:
Proficient with Microsoft Office and Adobe applications.
Experience with eBar/eCar, GovMax, OneSolution, SharePoint.
Physical Demands: Must occasionally lift and/or move more than 50 pounds.
About Everything Else
Starting Pay Range: $23.33 - $24.00, based on experience.
