Proctors Collaborative Accounting Specialist (Accounts Payable/Receivable) in Schenectady, New York

POSITION OVERVIEW

Proctors Collaborative is the Capital District’s leading regional arts organization with performing arts venues in Albany, Schenectady and Saratoga, and education, civic engagement and economic development initiatives throughout the region. The Accounts Payable/Accounts Receivable Specialist plays a crucial role in managing the financial transactions of multiple companies. The position is responsible for accurately processing invoices, managing vendor accounts and reconciling statements. Additionally, the specialist handles accounts receivable duties, including invoicing customers, tracking payments, and resolving any discrepancies. This position offers an exciting opportunity to contribute to the financial health and success of our Collaborative Organizations.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Ensure all company transactions are recorded accurately and proficiently.

  • Reconcile vendor statements and resolve any discrepancies in a timely manner.

  • Maintain accurate records of accounts payable transactions and vendor communications.

  • Generate and distribute invoices to customers promptly and accurately.

  • Track receivables in both the accounting software and ticketing software.

  • Communicate with customers regarding overdue balances.

  • Enter payment information to customer accounts timely and accurately. The expectation is that postings occur the same day or next day as the business deposit.

  • Collaborate with internal teams to resolve billing issues and disputes.

  • Perform End of Day Processing/End of Month reporting as needed.

  • Comply with organization policies.

  • Provide support to the Finance team as needed, including participation in special projects and initiatives.

POSITION QUALIFICATIONS

  • Associate’s degree in accounting with three years related experience and training; or equivalent combination of education & experience.

  • Basic understanding of accounting principles and practices.

  • Ability to read and interpret documents.

  • Ability to communicate with other departments to obtain needed information.

  • Ability to write routine reports and correspondence.

  • Ability to speak effectively before groups of customers or employees of organization.

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.

  • Ability to deal with problems involving several concrete variables in standardized situations.

  • Ability to prioritize tasks and meet deadlines.

  • Computer knowledge within area of assigned responsibility preferred; MS Office product suite.

  • Knowledge of Microsoft Dynamics SL preferred but not required.
