       Position Definition: The Administrative Assistant will provide secretarial services to the MIS Department, specifically related to Data Integrity. Relationship: The Administrative Assistant shall be directly responsible to the Director of Operations and MIS. Qualifications: Education/Experience:

  • High school diploma or GED.

  • Minimum one (1) year secretarial experience, preferred.

    Skills/Knowledge:

  • Demonstrates advanced computer skills, including a thorough knowledge of Windows and the Microsoft Office Suite and proficient use of departmental computer systems.

  • Demonstrates secretarial skills to effectively use office equipment, including, but not limited to, phone system, fax machine, copier, typewriter, scanner, computer, and calculator.

  • Demonstrates the ability to maintain complete confidentiality.

  • Proficient data collection and entry skills.

  • Demonstrates the ability to maintain data integrity.

  • Demonstrates excellent oral and written communication skills.

  • Demonstrates the ability to work effectively and collaboratively in a team environment.

    Authority: The Administrative Assistantwill have the authority to perform all functions listed below in accordance with established policies and procedures. Functions/Duties/Responsibilities: To perform this job successfully, an individual must be able to perform each essential function/duty/responsibility at acceptable standards. In accordance with both state and/or federal law, reasonable accommodations will be considered upon employee request. Essential:

  • Analyzes data for accurate reporting purposes.

  • Enters accurate data to all state reports.

  • Understands and utilizes PIMS and PennData Manuals in the carrying out of duties and functions.

  • Communicates with school districts and CLIU #21 departments for student accounting information for PIMS and PennData reports.

  • Develops a comprehensive understanding of the requirements, fields, and how the fields cross-reference within the PennData and PIMS systems.

  • Updates and follows a PIMS working calendar, which includes, but is not limited to, the dates for disseminating district information, receiving district information, and ACS reporting dates.

  • Follows a PIMS working calendar, as outlined by departmental procedures.

  • Complies with reporting deadlines and requirements, as outlined by PIMS system.

  • Maintains an accurate understanding of PowerSchool and the relationship to CLIU #21 programs.

  • Acts as a liaison to CLIU #21 staff for CATS and PowerSchool.

  • Collaborates with CLIU #21 Special Education Supervisor for accurate student data.

  • Effectively utilizes knowledge of CLIU #21 classroom exceptionalities and students for student data management.

  • Reviews and monitors CLIU #21 data system for proper completion and accuracy.

  • Provides secretarial support to the CLIU #21 data system for proper completion and accuracy.

  • Satisfactorily performs and carries out all functions/responsibilities/tasks, as assigned by Assistant Director or by MIS guidelines and/or procedures.

  • Ability to learn, apply, and follow CLIU #21 and MIS Department procedures, policies, and protocols efficiently and accurately.
