Reference #: 4468155 THE POSITION The Department of Military & Veterans Affairs is looking for an independent, responsible candidate to fill our Clerical Assistant 2 position at the Gino J. Merli Veterans Center located in Scranton, PA.

The ideal candidate is highly skilled in Microsoft Excel, Power Point, Word, and has the ability to enter and interpret data through presentations, spreadsheets, and graphing.  Candidate must be able to work independently and maintain confidentiality.  This position will work closely with Nursing Management to organize and provide high quality services to our Veteran population.

DESCRIPTION OF WORK This position provides administrative and clerical support to the Clinical Services Manager (CSM) and Assistant Clinical Services Manager (DON/ADON) at the Gino J. Merli Veterans Center.  The Clerical Assistant 2 is responsible for coordinating and maintaining daily appointment schedule for CSM, create reports as directed for nursing department, maintain nursing files, and communicate with other departments on nursing business.

Additional duties include the following: Data management and entry skills, the ability to improve and maintain physical and digital filing systems to include confidential protected health information. Computer literacy, including data entry, spreadsheet creation and formulas, word processing, presentation creation, graphing, and shared database and calendar functions. Drafting letters, memos, and communicating in a professional manner. Policy management including coordinating policy meetings, policy formatting, and assisting with policy workflow and communication. Answering telephone calls, emails, voicemails, and responding in a professional manner. Organizing meetings and events, prepare meeting agendas, and take meeting minutes. Update regulatory guidance documents with changes provided by CSM. Arranging travel for CSM and other personnel as needed. Maintain and update the nursing department 5-year plan and maintain inventory of nursing equipment. Create work orders and enter shopping carts. Work Schedule and Additional Information:

Full-time employment. Work hours are 8:00am to 4:00pm, Monday - Friday, with a 30-minute lunch. Salary:  Selected candidates who are new to employment within the Commonwealth of Pennsylvania will begin employment at the starting annual salary of $34,621 (before taxes) You will receive further communication regarding this position via email. Check your email, including spam/junk folders, for these notices.   REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY QUALIFICATIONS Minimum Experience and Training Requirements: Six months as a Clerical Assistant 1 (commonwealth title); or Graduation from high school; or An equivalent combination of experience and training. Additional Requirements: You must have two or more years of experience with the Microsoft package or a similar software package. You must have the ability to work with various types of office equipment, i.e., scanners, printers, fax machines, computers/tablets, telephones/personal communication devices, etc. You must be able to perform essential job functions. Preferred Qualifications (not required) Completion of a high school business curriculum. Six (6) months or more experience as a Clerical Assistant 1 employed by the Commonwealth of PA. Experience working in an office setting as a clerk or personal assistant. Experience in typing and data entry. Experience with filing and retrieving documents. Experience with Microsoft Word, Excel, and Powerpoint. Experience creating work orders. Experience answering, screening, and forwarding telephone alls. Experience updating policy and procedure manuals and proofreading for accuracy. Legal Requirements: A conditional offer of employment will require a medical examination This position falls under the provisions of the Older Adult Protective Services Act. Under the Act, a conditional offer of employment will require submission and approval of satisfactory criminal history reports, including but not limited to, PA State Police and FBI clearance.
