As an Executive Assistant on the Engines team, you'll provides administrative support to ensure efficient operation of an office, location, division, or team, helping coordinate business priorities and cadences. We are looking for someone to apply their technical expertise, leadership skills, and dedication to quality to positively impact safe human spaceflight. Responsibilities: Focused on supporting an individual executive or small number of executives in their day-to-day office activities including obtaining and organizing information for use in conferences, speeches, and reports as requested by the executive. Editing, proofing, formatting, document design/production, form filling, and data entry. Scheduling/coordinating meetings, diaries, and travel arrangements. Provides high-level executive support to ensure efficient operation of a department(s) and executive(s). Helps drive business priorities and cadences. Collaborates with internal stakeholders and peer groups and communicates regularly with external parties. Prepares and executes travel arrangements. Maintains dynamic scheduling of a team or executive. Using strong organizational skills; perform and prioritize multiple tasks seamlessly with excellent attention to detail. Prioritize conflicting needs. Handle matters expeditiously and proactively, following through on requirements to successful completion, often with deadline pressures. Using strong interpersonal skills, build relationships with stakeholders. Manage community space/conference room calendars. Schedule team meetings including room reservations, drafting an agenda, and providing necessary documentation for the meeting(s). Aligns calendar based on knowledge of the executives' preferences and operating styles. Manages and owns calendars, meeting preparation, and logistics based on knowledge of executive and business needs. Owns expense management including documentation, expense tracking, and policy compliance. Works with travel to coordinate travel arrangements for executive(s) and/or group Executes various projects and tasks and completes deliverables with little or no supervision Balances multiple projects end to end with varying deadlines, while maintaining executional and operational excellence. Understands and helps to implement Management Operating Systems in line with recognized patterns, and proactively acts on business cadence. Qualifications: High school diploma or equivalent 4+ years of administrative experience to include supporting senior level leadership Advanced skills in MS Office (Outlook, Word, Excel, and PowerPoint) Must be a U.S. citizen or national, U.S. permanent resident (current Green Card holder), or lawfully admitted into the U.S. as a refugee or granted asylum.
