The Allen School is seeking outstanding candidates for the position of Temporary Payroll Specialist (Fiscal Specialist 1).

The Allen School HR/Payroll team is responsible for the hiring, payroll, and lifecycle management of all Allen School employees, including approximately 900 student employees, 125 regular staff, 90 faculty members, 30 postdoctoral scholars, 30 non-permanent employees, and 20 visitors. All of these employees are paid by or through the HR/Payroll Team, creating an exceptional volume of payroll and fiscal work for the team. The Fiscal Specialist 1 will report to the Manager of Payroll Operations and be part of a dynamic, hard-working, and friendly team of Payroll Specialists who make it possible for our employees to change the world with ground breaking computer science and engineering research and education.

This is a temporary 12 month position that has the possibility of becoming a regular full time position.

DUTIES AND RESPONSIBILITIES

  • Coordinate faculty, staff, student, and postdoctoral scholar and visitor payroll. Working closely with other staff who manage these hires, ensure employees' hires are entered into Workday and internal databases correctly and on time with accurate pay and budgetary information.

  • Respond to payroll inquiries, providing information and directing to other resources to help answer questions and solve problems.

  • Communicate about payroll hire/payroll issues with the Manager of Payroll Operations, Grants Managers, Faculty members, and others as needed.

  • Complete I-9 documentation review for HR/Payroll team.

  • Triage the payroll ticketing system on a daily basis, assigning tickets to other team members and resolving tickets quickly.

  • Cross-train and provide back-up to other Payroll team members as needed.

  • Maintain electronic payroll files.

  • Assist with the preparation of payroll reports.

  • Assist the Manager of Payroll Operations with projects as needed.

  • Other duties as assigned MINIMUM REQUIREMENTS

  • Three years of fiscal record-keeping experience, or equivalent education/experience. ADDITIONAL REQUIREMENTS

  • Effective interpersonal communication and customer service skills. Ability to work professionally with faculty, staff, students, postdoctoral scholars, visitors, or other constituents, and the general public.

  • Proficiency with the use of computers, electronic mail, word processing, spreadsheets, databases, and Internet systems.

  • Ability to learn new software systems and use them proficiently to accomplish work tasks in a timely and accurate manner.

  • Proven ability to work independently and problem solve, take initiative, set priorities, and handle multiple projects and deadlines, as well as the ability to respond effectively to changing priorities and pressure.

  • Proven attention to detail and ability to complete tasks with a high degree of accuracy.
