The Meeting & Event Coordinator provides administrative and functional support for the Meetings team. This position will facilitate and improve upon the planning and execution of the firm’s meetings and events. This position will be based in Seattle. The position will be full-time in the office for at least the first 3 months then will transition to hybrid.

Responsibilities:

  • Manage inbox for meetings by serving as the initial responder for general questions, meeting updates and requests, and issue resolution; manage items independently and escalate issues as appropriate

  • Create and manage event registrations. Assist with logistics, reporting, room lists, communications, finances and budget, and system integrations

  • Build relationships with and act as a liaison for Moss Adams, clients, and vendors; provide service, troubleshoot issues, manage special requests, and schedule and attend meetings as appropriate

  • Review, code, and process invoices and corporate card charges by comparing to contracts, quotes, and proposals; research and resolve differences

  • Maintain all department documentation and the contract management database

  • Assist the team with various other tasks, including calendar management, expense management, and other support tasks

Qualifications:

  • Associate’s degree or equivalent experience required

  • Minimum of 1 year of related experience required; event experience preferred; experience in an office environment preferred

  • Strong organizational skills, able to effectively prioritize assignments and competing deadlines in a fast-paced environment

  • Time management, proven ability to simultaneously manage numerous projects and processes

  • Excellent verbal and written communication skills

  • Strong professional presence, demonstrated good judgment, and the ability to effectively interface with employees and leaders in the firm as well as vendors and other outside parties

  • Self-motivated and able to accomplish tasks with minimal supervision

  • Proficiency in Microsoft Office and Smartsheet

  • Ability to travel as needed, up to 5%
