The School of Nursing has an outstanding opportunity for a full-time Program Manager (Continuing Education Coordinator (E S 7)).

Parent-Child Relationship Programs is a self-sustaining program which has been developing and disseminating innovative products and training workshops for professionals working with young children (0-5) and their families for over 40 years. Parent-Child Relationship Programs currently has 8 programs and offers over 50 products including books, e-learning courses, instructional videos, assessment instruments and tools to professionals internationally and throughout the US. Additionally, Parent-Child Relationships disseminates in-person workshops and virtual trainings to professionals across the nation and internationally.

This position will be responsible for managing workshops, distance learning, web-store and customer service.

DUTIES AND RESPONSIBILITIES Program Management (60%):

  • Independently manage distance learning onboarding process of our evidence-based Parent-Child Relationship Program (PCRP), Promoting First Relationships® (PFR), which trains professionals across the state and country, as well as internationally.

  • Serve as the subject matter expert (SME) for Promoting First Relationships program operations, including associated state contracts and agreements to ensure fidelity of evidence-based curriculum.

  • Manage systems that track PFR provider database, program fidelity and program evaluation to best serve PFR providers and the caregiver-child dyads engaged in PFR.

  • Independently manage systems that track Parent-Child Interaction (PCI) reliability.

  • Serve as the SME for PCI program operations, including assurance of reliability for instructors and learners.

  • Serve as SME for inquiries from internal and external clients regarding any of the Parent-Child Relationship Programs.

  • Independently manage a large and growing number of PCRP training workshops, virtually and in person, in Washington state, the country and internationally.

  • Work with trainers to assure availability of training opportunities, resolve conflict as necessary.

  • Work with local and national agencies to develop the training experience they want.

  • Develop training agreements for virtual, local and on-site workshops.

  • Coordinate and secure contracts with hotels for workshop meeting space, catering, and lodging.

  • Manage coordination of all other workshops: PFR-PEDS, Barnard Center free lecture series, etc.

  • Manage and submit all of the Continuing Education applications for PMMH, PFR Program, and Keys to Infant Caregiving.

  • Act as primary liaison between PCRP and Continuing Education office.General Administration of Organization (20%):

  • Exercise autonomy in monitoring supply needs, maintaining detailed inventory records, and proactively placing supply orders while adhering strictly to budget constraints.

  • Take ownership of maintaining an up-to-date inventory of organization’s equipment and assets, demonstrating accountability in financial tracking and budget considerations.

  • Serve as SME associated with compliance in the processing and accounting for accounts receivable from a variety of funding sources.

  • Assist Business Manager in all office operations and transactions, including payments to vendors and independent contractors, utilizing the on-line receivables system, and managing all customer service operations from initial contact to follow up for past due accounts.

  • Exhibit a high level of accountability in maintaining organized and accessible records, documents, and files for the organization, ensuring strict compliance with UW document retention policies.

  • Lead special projects aimed at automation and process improvement, demonstrating autonomous decision-making, and taking responsibility for successful outcomes.

  • Facilitate weekly staff meetings, take meeting notes, and maintain all records of program decisions and action plans.

  • Maintain database of PCRP’s extensive mailing list.Marketing/Public Information – 10%

  • Represent and promote PCRP at workshops, over the phone and through written correspondence to customers throughout the US and internationally.

  • Attend national conferences to promote PCRP and products to professionals that work with families and young children aged 0-5.

  • Provide information and guidance in understanding and accessing the appropriate program for clients’ particular practice and needs.

  • Edit all new print materials, including full curriculum sets and all PCRP promotional materials.Online Store – 10%

  • Manage store operations, process, package and ship all orders.

  • Prepare customer invoices, interface with UPS to assure quality control.

  • Manage customer invoicing and UPS database.

  • Order all shipping supplies, stock products and monitor and maintain inventory levels.

  • Troubleshoot store website when needed. MINIMUM REQUIREMENTS

  • Bachelor's degree in Finance, Business or Public Administration, Human Resources, Communications, or Liberal Arts.

  • 3 years of experience and proven track record in project coordination or administrative assistant in the private sector, government, or academia.

  • Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  • Attained reliability in the Parent-Child Interaction Feeding and Teaching Scales.

  • This role requires an experienced, competent professional with a high attention to detail.

  • Creative problem solving in a complicated and continuously changing environment. Deep familiarity with calendaring software solutions, office related software, and communication tools.

  • Excellent writing and verbal skills.

  • Ability to develop innovative processes to achieve goals.

  • Excellent organizational, time management and decision-making skills.

  • Able to maintain a high level of confidentiality.

  • Skill with WordPress a plus.

  • Experience interacting with diverse partners ranging across students, faculty, staff, elected government officials, private donors, and executive level leaders.

  • Proficiency in financial software and database tools (e.g., Microsoft Excel, Workday, SmartSheet).

  • Excellent analytical and problem-solving skills.
