Alaska SeaLife Center Grants & Contracts Coordinator in Seward, Alaska

Summary:

This position is responsible for the maintenance of the daily operations of grants, contracts, and other external funds received by the Alaska SeaLife Center (ASLC), including all related activities concerning ASLC’s fiscal agent role with the North Pacific Research Board (NPRB) and the Alaska Ocean Observing System (AOOS). This position also performs finance and accounting duties for ASLC/NPRB/AOOS in support of the Grants and Contracts Manager.

Education/Training Requirements:

An associate degree in finance, accounting, or a related field and four years of experience in a similar or equivalent position are required. Experience with accounting, budgeting, financial analysis, Microsoft Excel, and computerized accounting systems is desired. Experience in grant management, non-profit accounting, and federal grant management is preferred. Microsoft Dynamics SL (Solomon) experience is a plus.

Essential Duties:

  1. Oversee all post-award ASLC/NPRB/AOOS administration activities for grants, contracts, and other external funding, including subcontract administration and close-out phases. Oversees grant award agreements and all aspects of grant compliance.

  2. Serves as the focal point for fiscal agent clients for grants, contracts, and other external funding. Monitors grant award agreements; engage with federal funders.

  3. Continually monitors grant, contract, and sub-award activity to ensure compliance with funder policies and requirements. Educates staff and acts as a resource on grant compliance matters. Submits programmatic and technical reports, no-cost time extension requests, and invoices to funders. Reviews project budgets, tracks financial progress, and provides updates to project managers on both regular and ad-hoc bases. Oversees review, approval, tracking, and follow-up of sub-awardee, subcontract, and other externally funded vendor invoices. Reviews and approves invoices submitted by fiscal agent clients. Works with program staff to ensure award conditions are met and documented.

  4. Maintains all grant reporting deadlines; provides the focal point for all required reporting.

  5. Uses interpersonal skills to coordinate projects requiring interactions with many internal parties. Uses financial analysis, critical thinking, and problem-solving skills to analyze data and develop meaningful solutions to specific problems. Use organizational skills to manage competing priorities. Use independent judgment to make logical decisions.

  6. Supports the development of and reviews budgets for grant proposals. Leads pre-award proposal creation, administration, and budgeting for fiscal agent clients.

  7. Leads the development of policy changes on grant accounting, sub-award compliance, and overall grant management. Integrates newly released compliance requirements from 2 CFR 200 into all agreements, policies, and procedures on federal grants.

  8. Maintains official ASLC records per the current Records Retention Policy and Schedule.

  9. Fosters good relations with visitors, volunteers, community leaders, contractors, fiscal agent clients, and fellow staff members by promoting positive attitudes, goodwill, and cooperation and providing high service standards.

  10. Complies with all Alaska SeaLife Center policies, procedures, and programs.

  11. Performs other related duties as assigned.

Work Environment:

Work environment characteristics represent those employees encounter while performing the job’s essential functions. The employee works primarily in an office environment, with frequent local travel. Some in-state travel may be required.
