Fulkerson Stevenson Funeral Home Administrative Assistant in Sidney, Montana

Overview Fulkerson Stevenson Funeral Homes is seeking an Office Assistant to assist our Watford City and Sidney locations. This position plays a critical role in ensuring our offices function smoothly, providing the opportunity to assist our families with the best possible service during the most difficult time of their lives. To maintain our high level of service, and continue to expand our locations, we require support personnel of the very highest caliber.

Reports To Office Manager, Sidney.

Responsibilities

Receive mail, documents, packages, and deliveries and deliver or distribute items.

Create and proof obituaries and notices for publication, submit to newspapers and radio stations, and update on the funeral home website.

Answer phones and field questions courteously and professionally, greet and interact with families, offer refreshments, and handle inquiries and direct them accordingly.

Be the first point of contact for families and guests, providing a soothing and calm experience.

Assist with completing paperwork, checking for accuracy, and filing of the necessary forms and documents associated with death including insurance, social security, military, death certificates, etc., and ensuring timely completion of these items.

Complete billing and housekeeping tasks, including receiving payments and printing receipts, filing completed funeral folders, sending monument proofs, obtaining payment updates, and preparing folders for completion.

Assist with preparation for services to include setting up floral arrangements, caskets, urns, video equipment, chairs, photos, and other personal keepsakes or mementos of client families, ensuring proper care and respect of any items.

Work with various programs including but not limited to Microsoft Office Suite and Google Workspace programs, Adobe products such as Photoshop Elements, company software programs such as Directors Assistant and Tribute, Montana Vital Records Systems, Facebook, text messages, website CMS, printers, VoIP phone system, Clover credit card machine, calculators, copiers, and fax machines.

Maintain neat and presentable office area, conference rooms, viewing rooms, chapel, restroom, and other public areas to ensure the funeral home is always family ready including making fresh coffee, cookies, and other refreshments as appropriate.

Use company vehicles as needed to run errands, transport service items, and assist with maintenance of them such as cleaning, washing, and making appointments for servicing.

Be a conduit of information in and out of the funeral home, while maintaining the confidentiality, privacy and respect of the families we serve.

Provide administrative support regarding memorial packages including creating/designing and printing memorial folders, register books, acknowledgment cards, inserts, stationery, tribute videos etc., light photo editing, sourcing background photos and poems, creating items and making changes as requested by families, and printing and finalizing pieces for services.

Work independently with minimal supervision, seeking tasks and assisting where necessary without needing to be instructed, remaining flexible with scheduling, and prioritizing new tasks as they come in.
