Legal Secretary

SOUTH BEND, IN

Full Time Position (37.5 hours) FLSA Status: Non-exempt

Summary of Duties: Provides administrative assistance to attorneys and paralegals to include typing pleadings, correspondence, and other documents from handwritten or dictated instructions. Employee will forward victim information to victim advocates; take dictation; compose and type routine correspondence, and read and route incoming mail; scan police reports, correspondence and legal documents into office case management system and send to appropriate courts or offices; ensure proper indexing and electronic filing of legal documents; close out case files; and perform other duties as assigned from time to time. Employee is available for Spanish/English and English/Spanish translation when needed. Employee will occasionally work on weekend or holiday mornings to assist with weekend criminal charging per office rotation schedule.

Supervisory Responsibilities: None

Competencies: Typing; scanning, faxing; familiarity with Microsoft Word, Excel, Outlook, and PowerPoint; ability to learn data entry programs including, but not limited to: JailTracker, BMV, INPCMS, Incite and Odyssey; copying and filing documents; answering telephones and message preparation; ability to multi task.

Qualifications: Employee will be held to a high level of confidentiality. To perform successfully, an individual must be able to perform each essential duty satisfactorily. Employee must be punctual and able to focus on work duties during normal work hours.

Education and/or Experience: High school graduation level language and mathematical skills and computer and equipment operation skills equivalent to a business school certificate or comparable experience. Criminal Justice degree preferred.

Physical Demands: Employee must be able to sit and perform common clerical tasks; carry files and supplies as needed; walk short distances to equipment and converse with co-workers regarding office duties. Also, must be able to file documents and/or retrieve paperwork from the courthouse. Position does not require any heavy, repetitive or overhead lifting.

Work Environment: Interior office environment in close proximity to other legal secretaries, attorneys, paralegals and victim advocates.

Salary rate: Pay is determined at onset of hire based upon prior experience and familiarity with office environments and equipment. Periodic adjustments may be made by county officials or by Office of the Prosecutor, if duties change.

NOTE: Employee must work occasional half days on Saturdays or holidays as required by office need to file charges within 48 hours.
