Robert Half Administrative Assistant in South Ogden, Utah

Description We are seeking an Administrative Assistant to join our team in the insurance industry based in South Ogden, Utah. This role plays a pivotal part in supporting financial staff and ensuring the smooth operation of our daily activities. The person in this role will handle administrative tasks, assist with customer inquiries, manage documents, and maintain accurate financial records.

Key responsibilities:

• Serve as the first point of contact for customers, addressing inquiries and directing them to the appropriate departments when necessary.

• Assist with administrative tasks such as managing calendars, scheduling meetings, and preparing documents and reports.

• Oversee the organization and maintenance of both digital and physical filing systems for important banking documents, including loan applications, customer records, and financial reports.

• Accurately input and update customer information, transactions, and account details into the company’s systems.

• Assist with transaction processing, including deposits, withdrawals, wire transfers, and loan payments, ensuring compliance with company policies.

• Generate and distribute various financial reports as needed by management.

• Ensure adherence to company policies, regulatory requirements, and procedures, and assist in the preparation of audits and compliance checks.

• Coordinate office tasks such as ordering supplies, managing communication between departments, and organizing branch events or meetings.

• Track and manage expense reports, maintain accurate records of transactions, and assist with the preparation of financial statements.

• Handle inbound and outbound calls, provide excellent customer service, schedule appointments, and manage email correspondence proficiently using Microsoft Office tools.

This role offers a long term contract employment opportunity. Requirements • Proficiency in Microsoft applications, including Excel, Outlook, PowerPoint, and Word

• Experience in answering inbound and making outbound calls

• Proven customer service skills

• Demonstrated ability in data entry

• Experience in managing email correspondence effectively

• Ability to schedule appointments proficiently

• Excellent communication and interpersonal skills

• Strong organizational and multitasking abilities

• Ability to work independently and as part of a team

• High attention to detail and accuracy in work

• Previous experience in an administrative assistant role within the insurance industry would be advantageous.
