WGL -Supervisor, Invoicing & Recordation

Position Summary

Supervises construction and maintenance invoicing associated with company-wide construction projects, entering and maintaining project data into the Asset and Resource Management system (ARM; formerly WMIS) associated with project initiation through approvals in accordance with policies and business procedures. Establishes and maintains various Sarbanes Oxley (SOX) and internal audit controls. Analyzes and maintains data related to project statuses; works with various internal groups such as Finance and Accounts Payable (AP) to accurately compile and forecast company expenditures and address problems/issues.

Tasks and Responsibilities

• Supervises the work of the Construction Support Data Specialists, including hiring, evaluating, training, performance management, compensating, motivating, coaching, and developing goals and procedures to ensure the achievement of goals.

• Identifies and remediates potential Sarbanes Oxley and internal audit controls weaknesses.

• Interprets guidelines and procedures and resolves daily problems associated with the Unit’s programs, systems and services.

• Reviews and evaluates the effectiveness of existing programs, guidelines, systems and services within the Unit.

• Assigns direct reports to provide support to other Construction Support groups to achieve mutual goals, including processing contractor invoices and data entry and data correction associated with Washington Gas regulatory recoverable programs.

• Tracks, monitors and reports workflow metrics to ensure that work is being completed in a timely and efficient manner.

• Develops and implements metrics to assure the continuous improvement of the timeliness, accuracy and completeness of Company records.

• Analyzes project status, aging and variance reports to assess data integrity, process effectiveness and process efficiency.

• Audits and validates the supporting documentation from the Construction organization and contractors prior to the release of company funds for payment of invoices.

• Develops and improves processes and associated controls as necessary to improve key actives/functions and to address new business needs and requirements.

• Evaluates current business processes and systems and implements process improvements.

• Oversees the timely and accurate processing of all contractor invoices and payment and records retention.

Qualifications, Skills and Abilities

• High School Diploma/GED

• 5+ Years experience in accounting or administrative support related to document processing, control and/or recordation; construction drawings; invoices; payments; and/or document quality control. required

• A bachelor’s degree may be substituted for 4 years of the experience requirement.

• Working knowledge of ARM/OPEN GRID preferred.

• Working knowledge of Company construction methods, policies and procedures preferred.

• .Experience developing staff training materials and business processes preferred.

• Supervisory and demonstrated leadership experience preferred.

• Demonstrated ability to present ideas logically and concisely to diverse audiences, both verbally and in writing.

• Proven ability to use computer software and applications, including Microsoft Office, to share, retrieve, research and present business information.

• Demonstrated ability to establish rapport and effective working relationships with business partners, supervisors, subordinates, and peers.

• Demonstrated ability to logically analyze and solve defined business problems.

• Ability to access and utilize data to perform analysis, define problems and develop solutions.

We offer a competitive salary range of $85,000.00 to $117,750.00 per year, commensurate with experience, education, and skills. In addition, we provide a comprehensive benefits package including health insurance, retirement plans, and paid time off.
