This position is located atRosedown Plantation State Historic Site in St. Francisville, LA.

Job Concepts

Function of Work:

To perform a variety of clerical duties that are routine in nature in support of the staff members and/or operations of an organizational unit or program.

Employees usually follow detailed instructions or procedures. Very limited, if any, discretion is required in the performance of these duties.

General from higher-level clerical and/or supervisory personnel.

Job Distinctions:

Differs from Administrative Coordinator 2 by the absence of experienced-level duties that require some independent judgment to perform.

Examples of Work

The purpose of this position is to provide a higher level of Administrative and Interpretive support at the park level. This person will primarily handle operations in the gift shop as well as provide interpretive support to the site.

60% Inventory Management & Purchasing

  • Maintains inventory of resale items and operational stock, and review sales records, to determine what items need to be ordered.

  • Assists with display and organization of resale merchandise, as well as pricing merchandise for sales.

  • Works with vendors to ensure timeliness and accuracy of products and services. Inspects incoming inventory, and compares specifications on invoices, requisitions, or purchase orders.

  • Responsible for all aspects of purchasing items, including but not limited to: preparing requests for purchase online, keeping all purchasing records, using the state purchasing system (including a LaCarte card), to complete purchases, etc.

  • Works closely with the Rosedown Park Manager, as well as the Office of State Parks (OSP) business office to ensure all purchasing and bidding guidelines are followed. Makes purchase recommendations for items.

  • Prepares all invoices and statements and forwards them to the business office for processing.

  • Prepares La Carte documentation for payment if necessary.

25% Interpretive Support

  • Performs site tours to visitors.

  • Coordinates with Interpretive Ranger in gathering historical data and documents from libraries, archives, and other resources.

  • Assures that all documents are submitted to the Administrative Office in a timely manner.

  • Serves as liaison between Historic Site and administrative office on matters of administrative support.

  • Provides support for the Interpretive Ranger(s) as needed during absences, providing input and using independent judgment to accomplish goals and fulfill public needs.

  • Organizes and maintains collections of historical documents and other materials.

  • Produces a written report on educational site visits.

  • Prepares exhibits, including creating labels and informational material.

15% Administrative Support

  • General daily operations of the gift shop include the selling of merchandise, customer service, and operation of a Point-of-Sale (POS) computer.

  • Appropriately handles cash and card transactions using the POS system.

  • Maintains cleanliness of area.

  • Perform routine administrative duties such as handling correspondence, scheduling appointments, and maintaining office supplies.

  • Prepares bank deposits, if required.

  • Greets visitors and provides information to them, answering any questions they may have.

  • Assists supervisor with any required paperwork, or other administrative duties.

  • Answers telephone inquiries.

Performs other related duties as assigned and performs customer service to a high degree of excellence.
