Job Summary

The Outpatient Services Specialist provides exceptional care for our patients and guests by offering them professional service and creating a memorable patient experience. The incumbent accurately and professionally handles all front desk operations including, but not limited to, all phases of the patient registration, scheduling, and payment collection processes. The core responsibilities of this role maximize efficiency through facilitating and ensuring the accuracy of the information flow between patients, dental staff, and other various departments. The Outpatient Services Specialist will work in a fast-paced, team environment.

This position will be stationed at our St. George Dental Clinic.

Essential Functions

  1. Acts as a liaison between the student dentists and patients in the coordination of their care.

  2. Schedules and registers patients into Epic.

  3. Answers phones and triages calls for patient care.

  4. Assists in the check-out of patients, collecting payment, and/or insurance information and provides financial estimates to patients in accordance with the No Surprises Act.

  5. Provides administrative support as assigned for all administrative and scheduling needs, particularly as related to the collaboration between Utah Tech Dental Hygiene and UUSOD .

  6. Provides customer service support for patients related to billing and services provided.

  7. Verifies patient benefits and eligibility for financial assistance.

  8. Obtains or confirms pre-authorization for procedures. Enters or checks patient registration demographics and makes corrections as needed. Documents insurance coverage and authorization information in patient account notes.

  9. Maintains understanding of various grant funding requirements as they pertain to financial support for patients.

  10. Maintains tracking system of patients eligible for and supported by School of Dentistry financial aid.

  11. Ensures that all related patient appointments for care are secured in a timely manner.

  12. Manages patient recalls and follow-up care for the St. George Dental Clinic.

  13. Acts to ensure clinic policies and processes are followed.

  14. Assists in the orientation, education, and training of dental students on clinic procedures and protocols.

  15. Adheres to standards set by OSHA , HIPAA , FERPA , CODA and other standards set by the department.

  16. Participates in committees and discussions regarding clinic operations, materials, protocols, and/or quality assurance.

  • Ability to work efficiently and independently.

  • Demonstrated computer skills and an ability and willingness to learn new applications and software, procedures and processes.

  • Ability to assimilate data from various sources.

  • Demonstrated knowledge of HIPAA regulations to ensure that patient information is guarded and respected.

  • Ability to navigate a facility with multiple providers and services.

Problem Solving

This position requires daily problem solving skills and multi-tasking. Must be able to maintain professional demeanor in stressful or difficult situations.

Minimum Qualifications

  • One year of office experience, customer

service experience, or equivalency (one year of education can be substituted for two years of related work experience).

  • Current, valid Utah driver’s license at

time of hire may be required in some

areas.

This position is patient-sensitive and must fulfill all associated requirements.
