TheSchool of Humanities and Sciences (H&S)is the foundation of a liberal arts education at Stanford. The school encompasses 24 departments and 24 interdisciplinary programs. Department/Program Description: Stanford's Physics Department is a teaching and research department in the School of Humanities and Sciences. For undergraduates, we offer Physics majors and minors with a variety of pathways. For graduate students, we offer a Physics Ph.D. program. The department has approximately 50 faculty members, over 200 graduate students, over 100 undergraduate students, over 60 postdocs, approximately 20 administrative staff and 10 teaching staff members.

Position Summary: The Department of Physics is seeking a Faculty Affairs Administrator (FAA) to manage all faculty and academic appointments, reappointments, promotions, and searches, and manage and track all faculty leave. In addition, the FAA will manage all visiting scholar and visiting faculty appointments, including processing appointments in the FASA system. For all these areas, the FAA will manage and interpret University policy, and provide critical analysis and guidance to internal and external stakeholders, ensuring compliance with University and School policy.

Additionally, the FAA will coordinate, oversee, and help to arrange all academic departmental events, such as the weekly colloquium, monthly faculty meetings, faculty lunches, the faculty retreat, and several annual lecture series. This involves inviting speakers, arranging travel, ordering catering, and processing financial transactions. The FAA will also provide administrative and analysis support to the department Chair and DFO and may be assigned other duties.

The FAA will work under the general supervision of the DFO, and will regularly interact and liaise with many stakeholders, including faculty, staff colleagues, external visitors, and the H&S Dean’s Office and the Provost’s Office. To be successful in this role, the FAA must possess critical thinking skills, a high attention to detail, be customer-service oriented, have a flexible and positive attitude, excellent verbal and written communication, and practice sound judgment.

Thisis a 100% FTE continuing exempt position. This position will be based on the Stanford campus and will be considered for an option of telecommuting(hybrid of working on-site and off-site), subject to operational need.

CORE DUTIES:

· Provide operational support and guidance to search/review committees and make recommendations for process improvement.

· Document and interpret policies and processes for contributors to the appointment/promotion form (chair, faculty lead, and candidate).

· Manage review, promotion, and search processes, including marketing, recruiting, preparing committee reports. Create agenda, prepare and edit documents and forms for faculty review including recommendations.

· Identify problematic information in letters and advise on how to resolve the problem. May provide first level approval for appointments and re-appointments.

· Prepare offer letters, as needed, for the chair or dean, which may include gathering and synthesizing information from other offices.

· Serve as primary point of contact, as needed, in orienting new faculty to the department, school, and university. Troubleshoot issues as they arise.

· Oversee all faculty visa matters, as needed.

· Manage and coordinate departmental academic events

EDUCATION AND EXPERIENCE:

Bachelor's degree and three years of experience working with administrative processes, or combination of education and relevant experience.

· Ability to learn university systems.

· Experience working with databases and Microsoft Office suite.

· Demonstrated ability to work well with Stanford colleagues and clients and with external organizations.

WORKING CONDITIONS:

  • Occasionally work extended hours.

The expected pay range for this position is $77,000 to $93,000 per annum.
