Are you looking to grow in the field of higher education, especially in the area of scholarships and fellowships? The Office of Global Scholarships (OGS) has an opening for a half-time OGS Scholarship Administrative Associate position. This role will provide administrative operational support to the Office of Global Scholarships Manager and staff regarding scholarship services. Some of the scholarships for overseas research and study abroad that are administered through our office include: Rhodes, Marshall, Fulbright, DAAD and many more.

About the Office of Global Scholarships at Bechtel International Center:

For over three decades, the Office of Global Scholarships (OGS), part of Bechtel International Center, has served as the office on campus that advises and administers overseas scholarships. The OGS works with undergraduates and graduate students as well as recent alumni pursuing scholarships for study and research abroad.

In this role, you will:

ADMINISTRATION

  • Review and process documents and forms such as scholarship applications for completeness, track files for follow up and distribute for review.

  • Input data, update electronic databases, websites, literature, and associated materials.

  • Collect, gather and validate data, prepare basic reports.

  • Coordinate logistics for outreach, activities, meetings, and help organize scholarship selection committee panels.

  • Respond to routine inquiries from students, faculty, external constituents, and staff.

  • Research and resolve routine issues, refer complex issues to other staff.

  • Contribute to general office administration and process improvements.

  • Help maintain OGS website, update deadlines and scholarship/fellowship materials.

OUTREACH

  • Manage complex scholarship databases and maintain record keeping systems daily (including Excel, webforms, Google Drive, and other web-based platforms.)

  • Assist with outreach and publicity of scholarships - information sessions, application workshops, panel events and deadlines.

  • Create and edit newsletters, design posters, post to other social media channels and outlets such as Instagram.

  • Manage mailing lists, draft communications to students, departments, stakeholders.

  • Design, edit and format presentations, GoogleSlides, PowerPoints, handouts, and handout guides.

  • May provide advising assistance to students on scholarships such as Fulbright English Teaching Assistantship (ETA) Grants, Gilman, and Critical Language Scholarship (CLS).

CUSTOMER SERVICE

  • May train and direct day-to-day activities of student and temporary workers.

  • Other duties may also be assigned.

Minimum & Preferred Qualifications:

  • Associate degree and one year of relevant experience, or a combination of education and relevant experience.

  • Computer and office administration skills, knowledge of social media platforms

  • Strong verbal and written communication skills

  • Customer service skills

  • Ability to learn compliance with legal, financial, and university policies and external regulations

In addition, our preferred requirements include:

  • Bachelor's degree

  • Advanced technical skills and demonstrated experience with Google Workspace, Microsoft Office, Canva, Slack, office software, webforms, email applications, intermediate or above Excel skills

  • Some study abroad experience or international living

  • Strong writing background, academic familiarity, and some research experience

  • Excellent interpersonal skills

  • Experience working with people from diverse backgrounds

  • Quick learner and collaborative team player

  • Ability to prioritize, multi-task, and handle frequent interruptions

  • Ability to use Mac computers (desktop, laptop) and Apple products

  • Demonstrated success in following through and completing routine tasks as well as working under pressure to meet deadlines in a face-paced environment

  • Strong organizational skills, accuracy, and attention to detail.

  • Sharp proofreading and editing skills

Working Conditions:

  • This is a hybrid position which requires 2-3 days of on-site work per week.

  • Monday-Friday 4 hours per day

  • During the peak season ability to work outside these regular hours.

The expected pay range for this position is $22.88 to $35.29 per hour.
