Job Title: Event Coordinator (Part-Time)
Location: Stanford University (Hybrid)
Hours: 20-25 hours per week
Shift Timing: Day-time shift; may vary based on assigned activities. Occasional evening or weekend work required. Some travel to off-site event locations may be necessary.
Position Overview:
The Event Coordinator is responsible for the end-to-end planning and execution of CME (Continuing Medical Education) events. This includes live, in-person conferences, virtual webinars, and full-day educational events. The role involves logistics management, vendor coordination, budget tracking, and stakeholder communication. Candidates must reside within a reasonable driving distance from client location and excel in a collaborative, fast-paced environment.
Key Responsibilities:
• ?Plan and manage CME events, including:
• Live, in-person conferences
• Virtual webinars and activities
• Full-day educational events
• Oversee event logistics such as registration, attendee tracking, presentation material preparation, and pre-and post-event evaluations.
• Lead planning meetings with faculty; document action items and decisions.
• Coordinate vendor services (e.g., catering, A/V support, venue setup).
• Provide on-site support during events to ensure smooth execution.
• Research and recommend event locations; evaluate alternatives as needed.
• Track invoices, receipts, and budgets, assisting with monthly reconciliation.
Qualifications:
• ?Proven experience in event coordination, preferably in CME or educational events.
• ?Strong organizational and multitasking skills.
• ?Excellent communication and interpersonal abilities to interact with diverse stakeholders.
• ?Proficiency in virtual event platforms and in-person event logistics.
• ?Ability to work collaboratively in a fast-paced environment.
Additional Requirements:
• ?Reside within a reasonable driving distance from Client Location.
• ?Flexible to work occasional evenings or weekends as required.
• ?Willingness to travel to off-site locations for events.
