Kelly Services Administrative Coordinator in Stilesville, New Brunswick

Our well-established client in Moncton has partnered with Kelly Services to recruit for a Administrative Coordinator to join their dynamic team on a permanent basis.

As the administrative coordinator, you will be responsible for the review, co-ordination, preparation and submission of tenders and proposals in a timely manner, which are responsive to client compliance requirements. The position will also include providing administrative support to our safety program.

Duties and Responsibilities:

  • Logging and scheduling of all incoming Pre-Qualification requests, Request for Quotation (RFQs) and Invitation to Tender (ITTs).

  • Review and co-ordination of response to ITTs.

  • Assisting in requesting subcontractor pricing and material suppliers during the tendering process.

  • Ensure that Instructions to Tenderer as specified in the enquiry are followed.

  • Collating the tendering documents, whether electronically or paper copies, in a presentable manner for client.

  • The preparation/review of the tender document, including sense checking and proof reading as required.

  • Co-ordinate response to clarification activities.

  • Issue regular reports on tender status as required.

  • Ordering of bonds and insurance

  • Administrative support to existing contracts with respect to document control and distribution, preparing and updating schedules, electronic quantity tracking

Qualifications

  • Excellent analytical and problem-solving skills

  • Ability to work under pressure with tight deadlines

  • Excellent written and oral communication skills (bilingual in French/English is an asset)

  • Have a strong interest in fast-paced, challenging work environments where showing initiative and self-motivation are assets

  • Self-starter, willing to learn, able to work independently

  • Strong knowledge with Microsoft Office programs and DropBox

  • Diploma in business or administrative course an asset
