Robert Half Administrative Coordinator in Tacoma, Washington

Description

We are offering a Part Time opportunity for an Office Coordinator role in Tacoma, Washington. As part of our team, you will play a vital role in managing administrative tasks and ensuring the smooth operation of the office. This role is part of a temporary employment arrangement and will be instrumental in maintaining the efficiency of our daily operations.

Responsibilities:

• Greet and assist visitors entering the Administrative Office, providing exceptional customer service

• Handle incoming calls and emails, ensuring they are routed to the appropriate parties

• Assist the public with website navigation and on-line memberships

• Coordinate office machine maintenance and repair, and provide training on office machines

• Maintain office supplies, including requisitioning, tracking, and distribution

• Prepare and distribute mail and FedEx shipments, and handle processing and reconciling of purchase orders

• Generate in-house reports and weekly updates, and handle the tracking and processing of external donation requests

• Provide comprehensive administrative support to all departments within the organization

• Ensure operational readiness of office equipment, including troubleshooting and repair coordination

• Manage business card orders for eligible employees and maintain a supply for visitor distribution.

Requirements

• Minimum of 2 years' experience in an Administrative Coordinator role or similar position

• Proficiency in Microsoft Office Suites including Microsoft Excel, Microsoft Outlook, and Microsoft Word

• Familiarity with Calendar Management Systems

• Excellent skills in Customer Service and Project Coordination

• Ability to handle Data Entry tasks efficiently and accurately

• Experience in drafting and managing Correspondence

• Knowledge of C-Suite level support and interactions

• Strong ability in Calendar Management and Master Scheduling

• Experience in processing and managing Purchase Orders

• English proficiency is required; however, bilingual or multilingual candidates are highly valued.
