Coastal Health and Wellness is seeking a Dental Office Manager!

Under the direction of the Dental Director, the Dental Clinic Manager provides administrative oversight of the dental clinic, including management of clinical and support staff, operational issues, regulatory requirements and patient and provider relations. The Dental Clinic Manager is responsible for the overall smooth running of the clinic and ensuring that clinic goals and objectives are met on a daily, weekly, quarterly, and annual basis.

Required:

  • Graduation from an accredited high school or equivalent.
  • Four years+ of full-time work experience as a dental office manager, dental assistant, or dental hygienist
  • Two years of full-time supervisory and training experience
  • Previous experience in a Community Health Center preferred.
  • Must be willing to work evening and weekend hours if necessary.
  • Current RDA or RDH license from the Texas State Board of Dental Examiners or at least 5 years of dental office management experience
  • Must have a working knowledge of dental terminology, tooth numbering systems, proper infection control techniques, sterilization techniques, radiology techniques, instrumentation, chairside assisting, oral evacuation systems and dental materials.
  • Computer skills to include, Next Gen QSI software/Electronic dental records/ Microsoft Office, preferred.
  • Previous experience with digital x-rays and electronic dental records
  • Excellent mentor to employees
  • Ability for spur of the moment transportation without relying on organization vehicles.
  • Must possess or ability to readily obtain a valid drivers license issued by the State of Texas for the type of vehicle or equipment operated.
  • Department of Motor Vehicle check may be required, if applicable.

  • Excellent written and verbal communication skills.
  • Excellent Computer Skills MS Office.
  • Must be in compliance with GCHD Immunizations policy.
  • Must be in compliance with ICS training requirements.
  • Must pass criminal background check and drug/alcohol screening.

An equivalent combination of education and work experience which appropriately demonstrates the knowledge, skills and abilities to perform the above described essential functions will be considered when hiring for this role.

Traditional Duties:

  • Leads the hiring, training, and supervising of front office personnel to assure excellent patient experience.
  • Manages dentist and hygienist schedules.
  • Develops and implements office policies and procedures regarding dental clinic front office work.
  • Ensures referrals are followed up on and the loop is closed.
  • Assist in the oversight of dental staff.
    • Assist in hiring process of new dental staff.
    • Oversee orientation of new dental staff
    • Oversee staff work schedules, time-off requests, sick calls, and timesheets.
    • Responds to all questions and issues that arise from staff each day, escalating to Dental Director if needed.
  • Generate regular reports to monitor data related to dental productivity (number of visits, number of procedures, provider-specific activity)
  • Meet with dental staff on a regular basis to review departmental progress in meeting goals.
  • Works with the Dental Director and Dental Assistant Supervisor to develop and implement trainings and guidelines.
  • Performs all duties in accordance with CHW and GCHD policies and procedures.
    • Ensures all policies, guidelines, protocols, and procedures related to HIPAA, HRSA, CDC, Infection Control, applicable grants, and The Joint Commission are followed.
  • Works closely with Compliance and Risk Management Officer and other risk management professionals to ensure ongoing dental clinic compliance with required training, equipment safety ratings/calibrations, and quality assurance.
  • Helps to ensure that quality assurance and infection control procedures are updated as needed.
  • Facilitates communications with dental providers, dental staff, and other staff to streamline patient care activities, and communicates with other managers on a regular basis to identify problems and seek approved solutions.
  • Notifies Clinic Director of issues with that are impacting goals.
  • Reports performance concerns of dental staff to all the appropriate supervisors
  • Understands and follows GCHD/CHW Infection Control policies, plans, procedures, and guidelines related to program area requirements.
  • Participates in all applicable Administrative Inservice Meetings (Quality Assurance/Performance Improvement Committee, Compliance, Infection Control/Joint Commission Committee, etc.)
  • Adhere to job specific competencies within established departmental deadlines.
  • Assist in direct patient care in the clinic when needed.
  • Performs other duties as assigned by supervisor.

``` - Oversee dental front desk operations. - Monitor dental schedule to ensure schedule is full, patient eligibility has been determined, and insurance breakdown has been completed. - Facilitate patient flow to achieve productivity goals in accordance with state and local laws, established clinic scope of services, and in accordance with priorities and goals adopted by the Coastal Health and Wellness Governing Board while following all applicable guidelines (HRSA, Joint Commission, CDC, etc.) - Assist in filling schedule with same day appointments as well as walk-in patients when applicable. - Work with staff to accomplish dental clinic goals and to Identify and address patient flow barriers. - Ensure all patient payments have been recorded properly. - Ensure dental contracts are completed accurately with correct fee adjustments based on patients sliding scale or dental insurance. - Ensure no-shows and last-minute cancellations are documented properly. - Ensure patients on same-day only scheduling status are not given advance appointments. - Ensure confirmation of upcoming appointments is completed and unconfirmed patients are removed from the schedule (or double-booked) - Ensure that patients arriving 15 or more minutes late for their appointments are not checked in unless providers can still complete meaningful care on the patient without disrupting next scheduled patients. - Ensure that phones are answered promptly. - Ensure that patients are checked in and out promptly and accurately. - Ensure that patients are being scheduled appropriately. Provide feedback to front desk staff when scheduling issues occur. - Collaborate with billing staff to facilitate the submission and management of dental claims. - Assist in the development of new dental policies and procedures.
