Position Summary:

Assists the Graduate Medical Education (GME) team with the execution of processes and procedures related to all aspects of the management and administration of the GME department. The Assistant Director will assist and guide initiatives as directed by the Sr Associate Dean of GME and Executive Director and is responsible for assessing, monitoring, and improving program compliance with requirements set forth by the ACGME.

Position Key Accountabilities:

Essential Functions

  • Works collaboratively with the GME team to plan, implement, and oversee quality improvement initiatives regarding onboarding, training, and administrative skills development.

  • Facilitates onboarding, offboarding, and necessary training and orientation logistics for residents/fellows and GME staff. Works closely with HR and partner hospitals to coordinate orientation for incoming trainees.

  • Acts as the GME approver of all PASS transactions in PeopleSoft.

  • Manages and tracks monthly supplement transactions and reports for over 1300 residents and fellows.

  • Acts as the GME point of contact for the Art in Medicine events and reimbursement.

  • Manages the American Medical Association (AMA) GME Competency Modules, including updating the UTHealth roster before onboarding.

  • Manages the letters of attestation process for UTHealth trainees rotating at other sites.

  • Serves as liaison between GME and other departments on projects and initiatives.

  • Manages department human resources activities in regard to recruiting and selection, hiring and termination, training, professional development, mentoring, counseling, performance evaluations, and salary planning.

  • Performs other duties as assigned.

Certification/Skills:

  • Excellent supervisory and leadership skills to manage and set priorities for support staff and oversee progress toward individual and department goals.

  • Enhanced interpersonal and oral/written communication skills with strong attention to detail, presentation skills, and problem-solving skills

  • Knowledge of New Innovations software preferred

  • Proficient in word processing, Excel spreadsheet, database, and presentation software

  • TAGME Certification preferred

Minimum Education:

At least a Bachelor's Degree in Education, Healthcare Administration, Public Health, Business Administration, or a related field. A Master's Degree in Education, Healthcare Administration, Public Health, Business Administration, or a related field is preferred

Minimum Experience:

At least six years in graduate medical education, healthcare service delivery, or management is required. At least five years as a leader with significant graduate medical education oversight and management experience is preferred.

Physical Requirements:

Exerts up to 10 pounds of force occasionally and/or a negligible amount frequently to move objects.
