Summary
The Business Operations Associate contributes to the development and completion of projects that vary in size and complexity, contributing to the success of their respective sales region. They are responsible for executing business processes that support all commercial functions of the organization, ensure client deliverables, achieve organizational standards, and help solve operational issues.
The Business Operations Associate position provides the opportunity to manage key business processes and gain exposure to a variety of management, sales, marketing, event, and implementation challenges.
Essential Functions
External event management: Support the preparation, execution, and follow-up of commercial events, including, but not limited to
Venue management
Travel arrangements for healthcare professionals (HCP)
HCP assistance and relationship management
Healthcare compliance (HCC) process management and reporting
Budget management
Internal meeting management: Support the preparation, execution, and follow-up of internal meetings and events, including, but not limited to
Meeting coordination & participation
Venue management
Travel arrangements
Catering
Budget management
Budget process management: Support the budget management process including, but not limited to
Purchase order preparation and processing
Budget change request process management
Monthly spend reconciliation and reporting to Finance
Tender/contract management: Support the Commercial team and collaborate with Pricing and Contracting, and other internal and external stakeholders to manage tenders and contracts including, but not limited to
Tender/contract dossier preparation and submission
Tender/contract execution and monitoring
Vendor management: Partners with Procurement and Legal, to manage external vendors, including, but not limited to
Contract set-up and management
PO and invoice management
Vendor audit
Project and process management: Participates in European business operations projects supporting the development, implementation, and continuous improvement of standard operating procedures
General Administration:
Coordinate all Canadian employees site events and celebrations
Create and manage the overall team annual calendar
Assist in the coordination and application of policies and procedures for all Canadian employees
Provide on-boarding assistance to new employees including asset acquisition, procedure and systems training
Provide administrative support to the General Manager
Stakeholder management: Partners with
Other functions such as Customer, Clinical and Technical Service, Pricing and Contracting, Professional Education, Marketing, etc. to meet company goals
External vendors to implement and execute processes and projects.
Minimum Requirements
Education / Experience / Skills:
Minimum 5-7 years professional experience in business operations, sales or marketing support, personal assistance or general administration, or customer relations
Candidates with a bachelor’s degree in business or a related field with prior pharma experience
Fluent in English, both written and spoken and one other additional language of the respective sales region, further European languages are an advantage
Proficient in using Microsoft Office 365 (i.e., Word, Excel, PowerPoint, Outlook, Teams, SharePoint), additional experience in working with collaborative and work management software is an advantage (e.g., SmartSheet, MS Project, MindManager, etc.)
High attention to detail and strong organizational skills are essential
Ability to thrive in a diverse and international work environment
Ability to work virtually with minimal supervision and collaborate in a matrix organization
Ability to work under pressure and retain high levels of confidentiality at all times
Enthusiastic and dedicated with a can-do attitude to work

Working Conditions:
This is an office-based role in Mississauga, Ontario. Role requires some travel (10%) to the United States and Europe. Incumbent must maintain an up-to-date passport.
