Randstad US Associate Operations Manager in Toulouse, France

Job purpose

Reporting to the Senior Operations Manager, the Associate Operations Manager will provide this top aerospace engineering client with onboarding and offboarding solutions for thousands of students each year who form part of the client’s early careers programs.

The Associate Operations Manager will lead, develop and motivate a team of approximately 10 people. Working closely with 2 other Associate Operations Managers, you will be responsible to deliver top quality administrative services in the early careers talent space, across a range of programs such as apprentices, interns, VIE, international mobility, CIFRE and Stages Decouverte .

The role is hybrid, with twice-weekly site visits to the Toulouse site at 9 Rue Michel Labrousse, 31100 Toulouse. The site is accessible via Métro Ligne A.

What you will do in this position:

  • Handle all administrative tasks for onboarding apprentices and interns, including documentation, security checks, and compliance with legal and company requirements.

  • Maintain accurate records of apprentices and interns, including personal, school, pay information, and contract duration.

  • Utilize Google Sheets and other platforms to manage large volumes of data, ensuring accuracy and integrity.

  • Monitor tracking dashboards for all aspects of the onboarding process.

  • Implement control mechanisms to ensure the quality and accuracy of Operations Officers' work, and control a portion of the team's files.

  • Produce reports on program metrics, performance, and outcomes for senior management as needed.

  • Support team members with task issues, provide training, set KPIs, and facilitate onboarding of new team members.

  • Promote continuous learning, assess development needs, and create training plans for team members.

  • Mentor and coach team members, fostering a supportive and inclusive environment.

  • Attend regular client meetings, produce reports on onboarding processes, and ensure smooth onboarding experiences, addressing any errors or anomalies.

What we ask from you:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.

  • Fluent French, good command of English (B2 minimum).

  • Proven experience in HR administration, onboarding, or a similar role, preferably (but not compulsory) with a focus on early careers programs.

  • Strong leadership skills. Proven ability to motivate, engage, and develop teams.

  • Strong organizational and multitasking skills with a keen eye for detail and accuracy.

  • Excellent communication and interpersonal skills, with the ability to build relationships with apprentices, interns, and clients.

  • Proficiency in HRIS / other relevant software applications.

  • Advanced proficiency in Google Sheets, including the ability to manage and analyze large volumes of data accurately.

  • A proactive and supportive approach to problem-solving and decision-making.

  • Knowledge of employment laws and regulations related to apprenticeships and internships is a strong plus.
