Job Summary
Support the College of Liberal Arts & Sciences Service Center (LASSC) through the completion of property accounting, and business-related tasks, and other administrative duties as assigned.
Duties & Responsibilities
Property Control
Records when equipment is issued to students, faculty, and staff as requested.
Inventories supplies and tracks orders and payments as required.
Inputs, maintains and revises inventory record systems.
Reviews existing inventory records for accuracy and completeness and reconciles discrepancies and errors as needed.
Supervises and performs physical inventory of property and equipment.
Physically gathers, verifies, and processes equipment for decommissioning.
Determines equipment surpluses and consults with unit heads on the disposal of surplus items.
Determines which items should be inventoried according to university policy.
Supervises and performs the affixing of property labels to each item of equipment when needed.
Serves as main contact with University Property Accounting and communicates issues accordingly.
Coordinates with external units for property management transfers for scrap/surplus disposal items.
Clerical
Answers calls and greets visitors for the department; determines needs and handles routine inquiries, requests, or problem and directs inquiries to appropriate contact if necessary.
Greet guests and answers routine inquiries that require knowledge of established departmental procedures and familiarity with operations and programs within the department.
Serves as a liaison between departments and service center; provides information, assistance, and advice to various units and individuals on orders that have been placed using FABweb.
Reviews vouchers, requisitions, purchase orders, and other transaction documents for completeness, accuracy, availability of funds, appropriateness of transaction, and conformity to policies, procedures, and/or contractual agreements.
Corrects transaction documents, which require revision of other documents or entries as well as the original; initiates other actions.
Posts financial information to journals, registers, and ledgers; enters, stores, and retrieves data.
Participates in compiling and submitting departmental information for recordkeeping and/or reporting.
Provides guidance on routine inquiries and order-related questions; provide training on FABweb or FABPlus for inventory related inquires or assistance.
Performs other related duties as assigned to further the mission of the unit.
Required Qualifications
1. High school diploma or equivalent.
2. Two (2) years (24 months) of experience in inventory work.
Preferred Qualifications
Previous customer service experience.
Experience using University of Illinois system applications (Banner, P-card, Chrome River, FABweb, FABPlus, iBuy, My-UI Financials, etc.)

- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, spreadsheets, designing forms, and other office procedures and terminology

- Maturity, sound judgment, initiative, well-developed organizational skills, and the ability to deal with complex and diverse issues.
- Proficiency in diverse software such as the Microsoft Office Suite, and communication software such as Microsoft Teams and Chrome River.
- Ability to make decisions in accordance with university and departmental policies, rules, and regulations.
- Self-motivated, independently responsible, and resourceful in the way he/she performs the job, ability to determine deadlines and arrange priorities for tasks and projects.
- Establishing and maintaining positive and effective relationships with all levels of supervision, management, and faculty is essential.
Appointment Information
This is a 100% full-time Civil Service 3291 - Inventory Specialist position, appointed on a 12-month basis. The expected start date is as soon as possible after the deadline date. This is a bargained position and as such, the salary is driven by the collective bargaining ag
