PeaceHealth is seeking a Administrative Assistant Specialist lll Family Birth Center for a Relief, Variable hours position. The general salary range for this job opening at PeaceHealth is $19.64 – $32.28. The actual hiring rate is dependent upon several factors, including but not limited to, the job/position responsibilities, location, terms of the applicable collective bargaining agreement, education, training, work experience, seniority, work performance, etc.

JOB SUMMARY

Responsible for providing diverse clerical and/or administrative support in a variety of settings; work may include but is not limited to planning, organizing, and coordinating communications, presentations, spreadsheets, basic project management, data and records management, etc. as defined within the scope of the role. May assist with overflow work from administrative and executive assistants, may also have receptionist responsibilities.

ESSENTIAL FUNCTIONS

  1. Receives little instruction on daily work and general instructions on newly introduced assignments.

  2. Applies knowledge and independent judgment to complete a wide range of assignments and resolve problems.

  3. Provides guidance and training to other staff.

  4. Works on assignments that are moderately difficult, requiring judgment in resolving issues or in making recommendations.

  5. Applies knowledge of programmatic and administrative requirements.

  6. Frequent contacts include internal and external customers to gather information or provide information.

  7. Facilitates workflow for accurate completion of assignment/projects in accordance with work expectations.

  8. Performs other duties as assigned.

QUALIFICATIONS (required unless otherwise designated.)

EDUCATION:

  • High School Diploma or equivalent preferred

EXPERIENCE/TRAINING:

  • Minimum of three years of progressively responsible applicable experience in a professional office required.

  • Medical office experience preferred.

  • Formal business and/or secretarial training or experience is preferred.

OTHER SKILLS:

  • Proficient in Windows based PC applications (including Word, Excel, PowerPoint, and Outlook).

  • Excellent verbal and written communication skills.

  • Strong organizational and analytical skills.

  • Ability to manage multiple priorities, projects, and display flexibility in a fast paced and changing work environment.

  • Ability to work with office equipment.

  • Basic accounting skills may be preferred.

PHSW – Women’s Services Departments (NICU, L&D):

  • Supports departmental programs through designated data collection and entry, creating and maintaining quality documents and project support.

  • May work as recorder in patient care or team conferences.

  • Assists WCS programs (i.e. NICU GAP Program) by accessing CareConnect to register patients, obtain pre-authorizations, scheduling appointments, referral process and other patient throughput or discharge needs.

  • Timekeeping in Kronos system for department.

  • Performs other administrative functions related to department needs, which may include charge reconciliation, posting provider schedules, front desk duties.

  • Other department needs such as room stocking, NICU laundry, equipment and supply management and special orders.

SOUTHWEST PHYSICAL/COGNITIVE REQUIREMENTS:

  • Work requires normal amounts physical effort up to 66% of the time.

  • Ability to lift objects weighing 50 lbs. or less.

  • Work is performed under normal working conditions with adequate lighting and ventilation.

  • Job duties frequently require intense concentration and attention to detail (34-65% of work time).
