Job Summary: Petrochem is currently seeking a Branch Administrative Assistant for our Vancouver, WA branch office. Primary responsibilities for this position will include entering employee hours for payroll, tracking man-hours for job costing and project management, and assisting with various safety coordinator tasks. This role requires strong attention to detail, organizational skills, and the ability to manage time and priorities efficiently. The ideal candidate will be a team player with a positive attitude! Please note that this position is full-time and 100% in-office.

Duties and Responsibilities:

  • Accurately enter employee hours into the payroll system.

  • Ensure timely submission of hours for weekly payroll.

  • Address and resolve any discrepancies in timesheets with employees or managers.

  • Track man-hours for each project or job.

  • Provide regular reports on labor allocation and costs for project management purposes.

  • Monitor and update the tracking system to ensure accuracy.

  • Maintain and update safety records, such as incident reports, training logs, and safety meeting documentation.

  • Assist in coordination of safety training and ensure employees are compliant with necessary certifications and safety protocols.

  • Help organize and manage safety inspections and audits.

  • Provide administrative support to the office, including answering phones, greeting and directing visitors, scanning, shredding, filing, and handling correspondence.

  • Order and maintain office supplies and equipment.

  • Schedule and coordinate meetings and appointments as needed.

  • Assist with other administrative tasks as required.

Key Requirements and Education Experience:

  • High school diploma or equivalent required. Postsecondary education will be considered a plus.

  • No experience is required, as training will be given. Experience with payroll or safety coordination duties will be considered a plus.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).

  • Familiarity with payroll software and timekeeping systems (experience with Vista or Keystyle a plus).

  • Strong organizational and multitasking abilities.

  • Excellent communication and interpersonal skills--- we're looking for a people person!

  • Attention to detail and accuracy in data entry.
