Rowan University Practice Supervisor, Rowan-Virtua Regional Integrated Special Needs (RISN) (Vineland, NJ) in Vineland, New Jersey

SUMMARY

Supervises office support operations and activities for the RISN. Provides oversight and assistance with all daily operations within the department including front office operations, billing procedures, scheduling of staff, patient issues, clinical issues, and duties related to staff supervision. Assists Director of Administration with operational reporting for the department.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Supervises and assists with the overall daily operations of the site. Responsible for all practice related activities involving personnel management, patient billing, facility issues, and implementation of department/office policies and procedures.

  • Plans and schedules the duties of the staff.

  • Maximizes the utilization of employees, equipment, and materials within budgetary requirements. Works collaboratively with other department office managers in the scheduling of staff.

  • Develops and implements controls for work assignments.

  • Creates and manages the daily staffing schedule, including vacation, and other time off requests. Maintains time and attendance records and payroll for the staff.

  • Assigns and instructs office staff and supervises the performance of their work.

  • Coordinates and assists with orienting and training new staff.

  • Assists the Director with annual staff appraisals.

  • Identifies all Departmental staffing needs. Responsible for maintaining a high level of staff morale and attempts to resolve internal grievances while still informal.

  • Responsible for taking corrective action with staff and disciplining of employees when appropriate.

  • Responsible for ongoing monitoring of site activities to ensure accuracy and completeness of operations.

  • Reviews and makes recommendations regarding office procedures and patient flow to improve efficiency and reduce costs.

  • Assists in administrative activities regarding office operations.

  • Maintains a variety of records in accordance with department and regulatory standards including HIPAA.

  • Maintains regulatory compliance in clinical and office operations.

  • Assembles data and prepares and supervises the preparation of various types of reports.

  • Requisitions site supplies. Maintains inventories and as directed, orders equipment and supplies.

  • Responsible for maintaining a customer focused office environment.

  • Maintains competence in all applicable office computer systems including Epic and Windows Systems. Trained Master Scheduler/Super User in Epic.

  • Prepares Master Schedules ensuring adequate coverage in all areas. Arranges for temporary personnel, as needed.

  • Performs clinical skills as needed including weights and blood pressures, obtaining basic medical history, and assists physicians with office visits/procedures as needed.

  • Understands and adheres to Rowan University’s compliance standards as they appear in the Corporate Compliance Policy, Code of Conduct and Conflict of Interest Policy.

  • Keeps abreast of all pertinent federal, state, and Rowan University regulations, laws, and policies as they presently exist and as they change and are modified

  • Ensures that all staff are trained and evaluated on their knowledge of and adherence to compliance policies and procedures specific to their jobs.

  • Coordinates the distribution of the Division/Department/Unit’s mail. Screens mail and determines priorities

  • Performs other related duties as assigned.

QUALIFICATIONS:

EDUCATION and/or EXPERIENCE:

Minimum of 5 years of experience in a physician office, clinic, or hospital setting. At least 7 years of supervisory experience, demonstrating effective leadership skills and direct reports. Associate degree (preferred) or 7 or more years of supervisory experience in a healthcare setting.

Must be able to work at all site locations on an as-needed basis.

PHYSICAL DEMANDS:

Be able to work in a physician office. Be able to lift less than 10 lbs. of medical equipment.
