Job Location: Stuart’s Draft, VA Reese is Hershey’s most known and loved brand. We’re looking to hire a Site HR & Administrative Coordinator to provide administrative support for Manager for our Stuarts Draft Plant, which produces many of our most popular Reese products, as well as other great products like Mr. Goodbar, NutRageous, Oh Henry, FastBreak, Whatchamacallit, Baking Chips, etc. in a high-speed complex environment. This role would be based onsite at our Stuarts Draft, VA facility and report to the Plant Manager. This position provides administrative support for the Plant Manager and extended support for the Plant Leadership Team, schedules Hourly Roundtable meetings, and is the point of contact & coordinator for all aspects of plant tours. This position also maintains numerous distribution lists, assists with expense reports, organizes travel & accommodations, coordinates donations, reserves meeting rooms, sends meeting invitations, is the point of contact for the site’s company vehicle fleet, and performs other organizational tasks. * Major Duties/Responsibilities:* * Provides general administrative support to the Plant Manager and the Plant Leadership Team. Develops an agenda for meetings when necessary. Assists all plant staff managers with general admin support. * Coordinate hourly roundtable, monthly Front Line Leader, and quarterly salaried review meetings to include scheduling meetings/rooms and developing presentations. * Assist with salaried employee onboarding. Schedule one-on-one meetings and tours with Plant Staff to get new hires oriented with processes and people. * Coordinate internal and external activities/events for the Stuart’s Draft Plant. Assist with plant recognition events to include Employee Appreciation Celebration, Anniversary meetings, Plant Picnic, Celebration meals, etc. * Plant contact and coordinator for all plant tours. This includes sharing Visitor’s Compliance form and Stuart’s Draft Plant Tour Guidelines with guests, scheduling a room, ordering and arranging delivery of meals, tour guides, gift bags, smocks/PPE, preparing/programming headsets, etc. * Assist with maintaining the plant wide communication and posting process. * Maintain numerous distribution lists, shared drives and SharePoint sites for Plant and Plant Staff * Minimum knowledge, skills and abilities required to successfully perform major* * duties/responsibilities:* * Highly organized, detail-oriented team player who can juggle multiple projects and prioritize tasks. * Ability to prioritize activity and manage time effectively. * Proactive approach to problem-solving with strong decision-making skills. * Ability to coordinate and plan events. * Organized with ability to keep others on task. * Personal initiative. * Excellent communication skills, both written and oral. * Detailed understanding of the full Microsoft Office Suite. * Proficient in developing Excel spreadsheets, PowerPoint presentations and SAP. * Minimum Education and Experience Requirements:* _ Education_ * HS Diploma required; Associates degree, higher education, or specialist administrative training preferred. _ Experience_ * Minimum of 2 years administrative experience in a professional environment supporting a Leadership Team / Senior level Management required * Experience supporting a team of leaders; ability to prioritize in a fast pace, constantly changing environment * Experience supporting senior leadership at a large manufacturing facility a plus * Capable of large event planning and hosting events * Proficiency with Microsoft Outlook, Word, Excel, and PowerPoint required; SharePoint is a plus * Works with confidential data and issues which could result in detrimental effects if disclosed, therefore the Administrative Assistant must be able to make confidentiality decisions, both of a limited and of a broader nature, on own initiative * Comfortable in a manufacturing facility and able to follow Good Manufacturing Practices (GMP) * Experience working in/with Manufacturing / Supply Chain is a plus * Experience with SAP is a plus The Hershey Company is an Equal Opportunity Employer.
