The Office of Equal Opportunity is responsible for the development, delivery, and oversight of policies and procedures related to preventing and providing redress for allegations of discrimination and harassment based on legally protected characteristics. The office provides leadership, coordination, and oversight of the University’s affirmative action, equal opportunity, disability compliance, and Title IX initiatives. The Office of Equal Opportunity is both an administrative unit of, and a resource center for, the University community.

The Sexual Violence Advocacy and Support Center is a confidential resource to the Bridgewater State Campus community for reports of sexual violence, dating violence, domestic violence, stalking, and sexual harassment. It provides resources, support, and referrals to students, faculty, and staff. The SVAS Center is also responsible for the prevention and education efforts around these issues for the university.

Position Summary:

The Administrative Assistant supports the Office of Equal Opportunity and university’s efforts to provide an equitable, diverse, and inclusive environment in which to work and learn by providing administrative support to the Director of Equal Opportunity/Title IX Coordinator, Associate Director/Investigator, and the Assistant Director of the Sexual Violence Advocacy and Support Center. This position will be responsible for scheduling the Director’s calendar, assisting with budget management and purchasing, handling the office phone line and emails, and greeting and directing walk-in traffic. The Administrative Assistant I will also support the Sexual Violence Advocacy and Support Center with budget management, event planning, and purchasing equipment and supplies.

TOUR OF DUTY :

Monday– Friday (with Saturday and Sunday off).

8:00 am – 4:00 pm or 9:00 am- 5:00 pm, flexible within regular business hours, schedule to be determined upon hire

COVID -19 Vaccination Requirement

Medical or Religious Exemptions

Essential Duties:

  1. Establish and maintain confidential electronic and hardcopy files of reports to the Office of Equal Opportunity.

  2. Use a multicultural and inclusive approach to engage with members of the community impacted by potential discrimination, harassment, sexual violence, and interpersonal violence when they call, email, or walk into the office.

  3. Collaborate with the Case Manager to maintain case tracking statistics to monitor progress and ensure compliance, identify trends, and create semester reports.

  4. Participate in University initiatives and programming around non-discrimination, racial justice, and violence prevention.

  5. Collaborate cross-divisionally to maintain and coordinate the Director’s calendar.

  6. Plan and coordinate cross-divisional meetings and trainings hosted by the Office of Equal Opportunity and the Sexual Violence Advocacy and Support Center on education and prevention efforts.

  7. Manage training details including rooms/facilities, audio-visual, food service, publications, print material, and related promotion to ensure a welcoming and inclusive environment.

  8. Maintain budget tracking for the Office of Equal Opportunity and the Sexual Violence Advocacy and Support Center.

  9. Prepare requested reports and compile statistical information to better inform the anti-discrimination and harassment efforts of the University.

  10. Coordinate professional and equity minded development trainings for the Director, Associate Director, and Assistant Director.

  11. Answer telephones and respond to office email accounts in an inter-cultural and inclusive manner to provide routine information.

  12. Prepare/mail outgoing correspondence; receive and distribute incoming mail, memos, etc.; compose routine letters; and review documents for completeness and content.

  13. Assist the office with maintaining compliance with applicable civil rights laws and regulations as part of the mission to foster a campus climate free from discrimination and harassment.

  14. Related duties as assigned.

Required Qualifications:

Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below.

I. An Associate’s or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.

II. An Associate’s or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.

  • Experience working directly with people from diverse racial, ethnic, socioeconomic, and other various backgrounds.

  • Resourcefulness and ability to anticipate administrative and communication issues in advance and solve them as they arise.

  • The ability to hear, discuss, and review sensitive material.

  • Ability to exercise sound judgement and discretion in handling confidential information and maintain privacy.

  • Ability to establish and maintain harmonious working relationships with others.

  • Knowledge of Microsoft Office, including Word, Excel, Outlook, and PowerPoint.

Salary Range: $1,785.03 (Grade 15, Step 1)
