The College of Graduate Studies is seeking a highly organized and detail-oriented individual to join our team as a Graduate Admissions Coordinator. In this role, you will play a proactive role and pivotal part in facilitating the admissions process for our graduate programs, ensuring a seamless experience for prospective students from application submission to enrollment. A full-time Graduate Admissions Coordinator will be hired with PPOHA grant funds to support graduate students in navigating the admissions process, which includes recruitment, enrollment, and registration.

Responsibilities:

  • Stay in compliance with all PPOHA grant requirements.

  • Manage the day-to-day operations of the graduate admissions process, including application review, document processing, and communication with applicants.

  • Serve as the primary point of contact for prospective graduate students, providing information and guidance on admissions requirements, program offerings, and application procedures.

  • Collaborate with academic departments and faculty to evaluate applicant qualifications and make admissions decisions in accordance with established criteria.

  • Coordinate recruitment efforts, such as organizing information sessions, attending recruitment events, and representing the institution at graduate fairs and conferences.

  • Maintain accurate records and databases related to applicant information, admissions decisions, and enrollment statistics.

  • Assist in the development and implementation of admissions policies, procedures, and marketing strategies to enhance recruitment and yield efforts.

  • Stay abreast of trends and best practices in graduate admissions and enrollment management, making recommendations for process improvements as needed.

  • Initiates contact via phone, email, and/or text and follows up on pending information needed by prospective students regarding interest in new programs and connects students with other personnel in College of Graduate Studies or other offices across campus as needed.

  • Offer advising and referrals to students experiencing academic or personal challenges.

  • Maintains detailed knowledge and is a subject matter expert of regulations, policies, procedures, and deadlines regarding graduate admissions to the university. This includes admissions to specific programs, admissions based on program delivery mode, financial aid information, registration, enrollment, tuition and fees, and services provided by Proyecto Èxito. Ensure students receive accurate information and verify compliance with program requirements.

  • Other duties as assigned.

Required Education and Experience:

  • Bachelor’s degree in applicable field.

  • Two years of related experience.

Preferred Education and Experience:

  • Master’s degree in applicable field.

  • Previous experience in graduate admissions, recruitment, enrollment higher education administration, or related field preferred.

  • Prior experience in working with underrepresented students.

  • Exceptional organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously in a fast-paced environment.

  • Strong interpersonal and communication skills, with the ability to effectively interact with diverse populations of students, faculty, and staff.

  • Commitment to maintaining confidentiality and adhering to ethical standards in admissions practices.

  • Flexibility to work occasional evenings and weekends as needed for recruitment events or admissions deadlines.

  • Strong preference to candidates who are bilingual: English and Spanish.
