What we want

The Operations Manager, under general direction and collaboration with the Assistant Vice President of Marketing and Communications, oversees the day-to-day execution of business operations and processes for the Texas A&M Health Office of Marketing and Communications, which includes general departmental operations, project management, employee hiring and relations, vendor management, promotional management, departmental budget management and general business operations. This role serves as the department’s go-to team member who deeply understands the unique Texas A&M Health institutional structure, the operational needs of a geographically dispersed marketing and communications team and the financial processes of complex organization.

Required Education and Experience:

  • Bachelor’s degree in applicable field or an equivalent combination of education and experience may be considered.

  • 5 years of related experience in health care operations and/or marketing and communications operations

Required Knowledge, Skills, and Abilities:

  • Ability to work in a fast-paced, deadline driven environment

  • Ability to balance competing demands and setting priorities on simultaneous tasks

  • Ability to remain calm under pressure and tactfully defuse stressful situations

Preferred Qualifications:

  • Master’s degree in business administration/operations, or related discipline or 8 years equivalent combination of education and experience in business administration/operations

  • Supervisory/management experience

  • Experience in vendor management

  • Related experience in a marketing and communications setting

  • Project management experience

  • Thorough knowledge of higher education tools, best practices, policies and procedures

  • Ability to work under minimal supervision and make decisions independently

Responsibilities:

Strategic Operations

  • Provides oversight and management of all aspects of the day-to-day administration of the department.

  • Works closely with leadership to assist in the development and implementation of strategic and operational plans.

  • Supports, partners, and liaises with multiple levels of leadership and operations on implementing goals and initiatives on behalf of the Office of Marketing and Communications.

  • Manages administrative matters related to marketing and communications.

  • Conducts in-depth analyses of operational functions within the department.

  • Develops and implements new or amended processes as needed.

  • Develops quantitative metrics to measure operational impact of decisions and actions.

  • Oversees all office, storage and studio space assignments and prioritization of capital requests, including equipment and space needs.

  • Develops programs and standards of performance to continually measure and evaluate our purchasing power, enterprise vendor opportunities and cost-sharing opportunities.

  • Supports the preparation of major proposals from an administrative perspective.

  • Serves as administrative liaison for departmental sponsorships and memberships in conjunction with System, University and external organizations.

Personnel Management

  • Oversees departmental staff activities including, but not limited to, staff hiring/onboarding/offboarding, employee development, departmental purchasing and departmental activities.

  • Sets a tone of service excellence and is collaborative in nature focusing on data-based decision-making.

Departmental Liaison to Business Services/Finance

  • Liaises with Business Services/Finance on fiscal matters/performance, provides support to Department Head and maintains financial and budget records.

  • Analyzes financial reports, sets up and monitors appropriate internal control practices and provides accurate up-to-date financial information to Department Head to support the successful financial management of the department.

  • Assists in the developing of business plans and models and proposes changes associated with funding lines, departmental activities, vendor activities and inventory.

  • Monitors the department’s billing and revenue cycle operations.

Department Representative

  • Represents the Department Head in his/her absence on administrative and fiscal matters. Consistently attends meetings when required and has an institutional minded view when representing the department on administrative and financial issues.

  • Maintains working relationships with organizational peers, serves on committees, ensures that department responds to institutional requests and completes projects in a timely fashion.
