What we want The Program Coordinator I is responsible for supporting faculty and students with the day-to-day development, delivery, and evaluation of the Medicine curriculum, specifically working with learning communities and learning community faculty leaders. This role is responsible for creating, coordinating, and disseminating information related to the assigned course/program; revising and publishing course content in the learning management system (i.e., Canvas); updating course calendars and schedules, reserving rooms and/or creating Zoom sessions; and serving as a liaison between the course co-directors, faculty, students, and staff within Academic Affairs and across the School of Medicine.

Required Education and Experience:

  • Bachelor’s degree or equivalent combination of training and experience

  • Two (2) years related work experience in academic coordination or program coordination

Required Knowledge, Skills, and Abilities:

  • Ability to multitask and work cooperatively with others

  • Ability to work independently

  • Effective interpersonal skills

  • Effective verbal and communication skills

  • Knowledge of word processing and spreadsheet applications

  • Proficiency in MS Word, Excel, PowerPoint, Outlook and database applications

  • Strong organizational and customer service skills

Preferred Qualifications:

  • Four (4) years related work experience in academic coordination or program coordination.

  • Driver’s License

  • Experience in health services and/or medical education

  • Experience as clerical or administrative assistance staff

  • Experience with learning management systems – ex: Canvas

  • Experience collaborating with individuals and communities in a higher education and/or medical setting

Responsibilities:

Learning Communities and Course CoordinationCoordinating all course information planning, implementing, and scheduling for assigned courses,including:

  • Arranging room reservations, scheduling Zoom sessions

  • Attending relevant meetings as related to assigned courses

  • Coordinating small group facilitators, lecturers, panelists when applicable and proctors for exams

  • Coordinating with Office of Academic Technology and Office of Evaluation and Assessment concerning program communication and marketing

  • Maintaining the learning management system

  • Manage the scheduling of Pre-Clerkship team meetings and trainings (Huddles, PCC, etc.) as related to assigned course

  • Providing support related to course sessions, exams, training sessions

  • Serving as primary administrative liaison with course co-directors, faculty, and students

  • Compiles program statistics, and maintains program records and databases

Clinical Skills and Interprofessional Education (IPE) Support

Clinical Skills

  • Under direction of Director of Clinical Skills (DOCS), Facilitates with the development, implementation and evaluation of improvement activities related to the teaching and assessment of clinical skills.

  • Assists with administration of clinical skills workshops in collaboration with faculty and clinical learning resource center (CLRC) staff

  • Liaise with executive clerkship directors, course directors, and Academic Affairs to plan, conduct, and evaluate observed standardized clinical examinations (OSCEs) for each clerkship across all campuses

  • Manage clinical skills with OSCE workflow with colleagues with the aid of health education software

  • Support the preparation and presentation of course activities.

  • Coordinate and schedule activities related to educational conferences, meetings, lectures, simulation sessions, examinations and special events as directed by the curriculum and members of leadership for medical clinical skills

  • Initiates short and long-term planning goals based on program data

  • Coordinates the development of new and expanded programs based on evaluations and input from stakeholders

Interprofessional Education (IPE) Program Support and Coordination

  • Under the direction of Director of Interprofessional Education (IPE), help organize and execute the IPE activities for the medical students in collaboration with the Colleges of Pharmacy, Nursing, Dentistry and Public Health

  • Marketing and Promotion of IPE events

  • Recruitment of IPE volunteers to participate in IPE activities throughout the calendar year

  • Add IPE specific events to official School of Medicine calendars

  • Work with Preclerkship and Clerkship Directors to place IPE events on course calendars

  • Work with faculty as needed to incorporate IPE activities within the courses

  • May assist in preparation and monitoring of budgets for programs and events.

  • Collaborate and work with the Interprofessional Education & Research (IPER) office as needed

Communication and Team Cooperation

  • Liaise with students, faculty, staff, and external stakeholders

  • Ensure proper coordination and scheduling of activities across all campuses

  • Develop training materials for students, faculty, and staff

  • Provide training to students, faculty and staff as needed
