At National Salvage & Service Corporation, we are seeking a detail-oriented Civil Administrator to support our civil division. This role is vital in ensuring smooth communication and coordination between field management, internal teams, clients, vendors, and regulatory agencies. The ideal candidate will manage project control logs, assist in job cost tracking, and provide essential support to payroll, HR, safety, and estimating teams.

    Essential Job Functions:

  • Act as the central point of contact between field management, internal teams, clients, vendors, subcontractors, and regulatory/government bodies to facilitate clear communication and seamless administrative operations.

  • Play a critical role in maintaining efficient communication between the Civil Division and the home office. This individual will serve as the primary point of contact for the Civil Division, ensuring that all relevant information is consistently and accurately relayed to the home office to support streamlined operations.

  • Input data from timesheets and daily job tickets for job cost tracking, ensuring that all information is stored and organized in the company-s system.

  • Provide administrative support to the payroll department, assisting with data entry and payroll reporting tasks.

  • Assist Human Resources with the recruitment process, including coordinating employee onboarding and orientation.

  • Offer administrative support to the safety team, ensuring that safety documentation is maintained and compliant with company policies.

  • Collaborate with the estimating team to identify potential bid opportunities and support bid preparation.

  • Maintain consistent communication with project teams, clients, subcontractors, suppliers, and regulatory agencies, ensuring all parties have the necessary information.

  • Perform additional administrative tasks as assigned to support the overall success of the civil division.

    Qualifications:

  • 1 year of experience in construction or civil engineering projects, preferred.

  • Proficient in Office 365 suite (Excel, Word, etc.)

  • Always maintains a professional demeanor.

  • Exceptionally detail-oriented with a strong focus on accuracy.

  • Demonstrates personal integrity, resilience, and respect for colleagues.

  • Strong verbal and written communication skills.

  • Excellent analytical and problem-solving abilities.

  • Physical requirements: Ability to sit for long periods of time, stand, walk, climb, bend, and twist throughout the day. Must handle repetitive motions, navigate uneven terrain, lift up to 15 pounds, and work in environments exposed to loud noises and various weather conditions.
