A part of the Texas A&M University Health Science Center, Texas A&M School of Dentistry (https://dentistry.tamu.edu/) in Dallas was founded in 1905 and is a nationally recognized center for oral health sciences education, research, specialized patient care and continuing dental education. The School of Dentistry is looking for a Senior Administrative Coordinator I to serve in the Office of the Dean. We desire an individual who subscribes to and supports our commitment as stated above. What you need to know

Salary Range: Salary will be commensurate based on the selected applicant's experience.

Work Schedule/Location: This position is on-site in Dallas, TX and the typical schedule will be Monday thru Friday 8:00AM – 5:00PM.

Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience.

  • Six years of experience in office administration.

Required Knowledge, Skills, and Abilities:

  • Ability to multi-task and work cooperatively with others.

  • Proficiency in the Microsoft Office Suite.

  • Specific knowledge of Outlook email and calendar, Zoom, and open to learning new computer applications as the school develops technologically.

  • Outstanding verbal communication skills and the ability to communicate comfortably at all levels including faculty, students, staff and the public.

  • Ability to show discretion and tact with sensitive and confidential information.

  • Skilled in managing multiple tasks with competing deadlines.

  • Must be an enthusiastic team player but also have the ability to work independently.

  • Must exhibit a high degree of professionalism, dependability, and punctuality.

Preferred Qualifications:

  • More than six years of office/administrative support experience.

  • Professional experience in higher education.

  • Experience managing data records.

  • Experience in a dental office or related dentistry setting.

  • Ability to organize and prioritize work activities.

Responsibilities:

  • Office Administration - Provides advanced administrative and coordination support to the Dean’s office, the Chief of Staff and the Director of Strategic Initiatives with the ability to maintain confidentiality. Coordinates travel arrangements and prepares itineraries. Plans and coordinates meetings, seminars, and other special events. Coordinates administrative support functions. Plans and coordinates administrative activities and services. Develops administrative objectives and strategies. Coordinates office records retention and maintains office references and resources materials. Serves as backup to Executive Assistant/office manager. Reviews and signs documents for supervisor, as needed. Attends meetings or committees on behalf of supervisor.

  • Operations - Participates in the planning and execution of administrative operations. Participates in the resolution of operating problems. Plans, implements, coordinates, analyzes, monitors, and evaluates administrative support functions. Assists in the development of budget. Formulates, interprets, and/or implements management policies or operating practices. Develops administrative and technical procedures. Recommends guidelines, policies, rules, and regulations. Monitors compliance with policies and procedures.

  • Projects & Written Correspondence - Monitors project timelines, identifies issues and proposes resolutions. Performs special analyses and project summaries. Prepares and reviews operational and special reports. Makes recommendations for process improvements, administrative changes, or new initiatives. Coordinates office records retention and maintains office references and resources materials. Composes and distributes letters, memorandums, and other complex correspondence.
