GENERAL DESCRIPTION:

The Wyoming Department of Corrections is looking for a skilled Support Services Office Coordinator for the Cheyenne Central Office location. This position will undertake a variety of day-to-day responsibilities stemming from Fiscal, Correctional Industries, WDOC training Academy, and Audits operations. This position will also help managers manage and plan for the present challenges and future operations of the Support Services Program for WDOC.

This Support Services Office Coordinator is, above all, an organized and competent professional with excellent communication skills and the ability to deal with people and able to carry out duties with accuracy and speed—someone who can ensure that office operations are efficient and add maximum value to our organization.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.

  • Provides oversight and training and ensures compliance in maintaining agency standards for inventory management, including warehouse and raw food.

  • Provides oversight for training and ensures compliance in reporting and maintenance of fixed and non-fixed assets for the WDOC Central Office, WDOC Prison Division, and WDOC Field Services Division.

  • Manages, coordinates, and oversees telecommunications strategies, including equipment for the WDOC Central Office.

  • Supports CFO in verifying accounts payable (AP) transactions and filing (AP) documents.

  • Provides office management and support to the CFO and Fiscal Manager.

  • Creates, compiles data, and writes the annual Academy Report.

  • Develops and maintains the Academy Procedure Manual and the creation and management of the Field Training Officer manual and documents.

  • Provides instruction oversight to include student attendance, organizes student classroom groups, ensures missed classes are made up, tracks instructor hours, and updates the Peace Office Standards (POST) Acadis database to document POST-required training hours.

  • Assigning and managing student housing and student check-in/checkout process.

  • Develop training schedules and update all lesson plans as necessary.

  • Fiscal responsibilities include monthly credit card activity and tracking of monthly budgets and expenditures.

  • Enters and tracks transactional data on shared drives and ensures WOLF's transactions are completed appropriately and timely.

  • Prepares AP documents, processes payments, and monitors the acquisition process, including organization of competitive bids, evaluation of responses, issuance of the Purchase Orders, and ensuring documentation throughout the process is complete and accurate.

  • Monitors and manages EFT transactions, update budget tracking, and monitor and edit WOLF's balance.

  • Administrative support includes picking up mail, signing for checks, taking meeting minutes, participating in Marketing events, and assisting with sales inquiries.

  • Coordinates the gathering and input of multi-million dollar Major Maintenance and Capital Construction project information into the automated maintenance software system during the cycle months.

  • Establishing deadlines for information, content proofing, and project input and coordinating content reviews with and for input from senior management.

  • Manages the operations of the office: duties may include performing licensing functions, administrative functions, examination, fiscal, human resources, legal, or any combination of the above.

  • Reviews and recommends approval, disapproval, or renewal for various occupational groups.

  • Evaluate the program to provide recommendations for enhancements.

  • Researches and analyzes data.

  • Recommends project enhancement based on research results.

  • Researches issues using statutes, rules, and regulations.

  • Assures appropriate and optimum use of the department's resources through knowledge and experience.

  • Updates and makes changes to specific databases and utilizes the databases for reports, projects, and research assignments.

  • Provides information and creates reports.

  • Assists in the planning and implementing of new projects and procedures; reviews new data to help implement new ideas.

  • Researches, drafts, monitors, and maintains systemic plans and records for programs/projects.

  • Assists with the preparation of files in litigious situations.

  • Provides answers or information to public requests.

  • Act as liaison between boards, their licensees, the general public, and federal, state, and local government entities.

Qualifications

KNOWLEDGE:

  • Knowledge of organization and improvement tools and techniques.

  • Knowledge of working in state government

  • Familiarity with MS Office products

  • Ability to use Google Chrome and other Google products

  • Knowledge of agency mission.

  • Knowledge of the principles of customer service

  • Knowledge of Agency rules and regulations.

  • Knowledge of State statutes.

MINIMUM QUALIFICATIONS:

Education:

Bachelor's Degree (typically in Business)

Experience:

0-2 years of progressive work experience (typically in Business)

OR

Education & Experience Substitution:

3-5 years of progressive work experience (typically in Business)
