This position offers remote opportunity after training. Job Description: The Residency/Fellowship Program Assistant serves as a member of the administrative team for the residency/fellowship program(s) and works under the supervision of the Manager in Medical Education and collaboratively with Medical Education Leadership, Residency/Fellowship Program Administrators, Medical Education Team Members, Program Directors, Associate Program Directors, Department Faculty, and clinical support liaisons, to effectively support the day-to-day operations for the educational and administrative infrastructure of their assigned residency/fellowship program(s). This individual will work independently on most assignments and within a team for more complex and multi-departmental assignments and goals. This position requires the ability to carry out confidential work and exercise considerable judgement in completing projects, assignments, and internal and external communications, and may have access to confidential and sensitive information. Major Responsibilities 1. Provides administrative support to both the Medical Education department and their assigned program(s) while effectively following residency/fellowship program leadership (Program Director[s], Associate Program Director[s], and Program Administrator[s]') direction in implementation of program(s) operations for project plans, deliverables, schedules, and measures of success while considering applicable regulations and corporate policies. This includes assisting the team with system upgrades, new application implementations, and recruitment. 2. Executes an organized and deliberate approach to the implementation of daily on-going projects and processes by developing and providing high quality standards in all aspects of work, particularly in clear communication, follow up, and maintenance of residency and fellowship programs. 3. Works in partnership with the assigned Program Administrator(s) to complete assigned tasks and activities relating to resident/fellow recruitment, orientation, and graduation, and resident/fellow credentialing, licensing, and training verifications. 4. Works in partnership with the assigned Program Administrator(s) to complete assigned tasks relating to program requirements and activities relating to resident/fellow credentialin , licensing, and training verifications, while ensuring information is shared and recorded as appropriate and in a timely manner. 5. Uses advanced functions in a variety of computer systems and applications (e.g., calendar management, residency management systems, scheduling/paging systems, Microsoft Office 365/Suite, and WebEx) to support residency/fellowship program(s) requirements, including, but not limited to: distributing and tracking completion of evaluations and conference attendance, data entry, entering call schedule into paging system, maintaining data or databases, creating templates and spreadsheets, prepare for and document meetings, obtain and run reports, prepare presentations, and transcribe dictations. 5. Proactively identifies, communicates, and, if directed, resolves issues that may impact the Medical Education Office and/or residency and fellowship program's deliverables. 6. Seeks innovative ways to improve processes when appropriate. 7. Collaborates with the leadership team to identify and coordinate internal and external resources to complete the Medical Education department/program(s) objectives. 8. Assists team(s) in follow-up with integral partners as needed to ensure objectives are completed and executed accordingly within designated scope, timeframes, and budget. 9. Demonstrates organization, dependability, and exercises effective time management. 10. Independently research, compile, record, communicate, and format appropriate data (evaluations, Clinical Competency Committee reports, Program Evaluation Committee reports, surveys, etc.) and maintain confidentiality to protect organizational and operational information. 11. Monitors, coordinates, and schedules on-going resident/fellow educational conferences (didactics), medical certifications, and licensing required for the resident/fellow to participate in the program. 12. Ability to provide outstanding customer service in a fast-paced environment when interacting with all staff, vendors, patients, visitors, etc., while meeting deadlines, remaining flexible, resourceful, and efficient, with a high level of professionalism and confidentiality. 13. Performs related duties as required or assigned. Education and Learning: REQUIRED Associate Degree in a related field Work Experience: REQUIRED 1 year of related work experience DESIRED Prior experience in the healthcare field preferred.
