Sanofi Group Senior Administrative Assistant to Quality in Waltham, Massachusetts

Specialty Care External Supply Quality (SCES Q) is the quality unit responsible for GxP oversight of Contract Manufacturing Organizations (CMOs), Contract Laboratory Operations (CLOs) and business partners involved in the manufacture, testing, and transport of Sanofi products. SCES Q staff interact with functional units within Specialty Care Quality (SCQ), Sanofi sites, and other organizations within the Specialty Care network (e.g. procurement, supply chain, finance) to ensure compliance with internal and regulatory requirements, and to disposition intermediate (e.g. API, drug substance) and finished products with minimal risk to quality or product supply.

  • SCES Q has responsibility for CMO and CLO activities related to products treating Rare Diseases and Blood Disorders, Multiple Sclerosis (MS), cancer, and diabetes.

  • SCES Q is based in Waltham, MA, Frankfurt, Germany, Ghent, Belgium and Amsterdam, Netherlands.


This position provides administrative support requiring an advanced knowledge of department functions and division/business unit functions. The SCES Quality unit comprises six subunits that may require administrative support:

  • North America Quality Operations

  • EU & ROW Quality Operations

  • Supply Chain Quality Operations

  • Quality Management Systems

  • Quality Assurance Technical Services (QATS)

  • Compliance

Additionally, there will be routine administrative duties in support of the Head of Quality.


  • Providing direct support for calendar management for Site Quality Head.

  • Provide on-going and consistent support related to varied site-specific activities.

  • Provide on-boarding and off-boarding of department Employees.

  • Assisting in the scheduling and coordination of site (onsite and offsite) specifics events.

  • Acting as the department representative with food services vendor companies.

  • Making travel arrangements for QLT level managers as needed.

  • Tracking and preparing expense reports for multiple managers upon request.

  • Conducting file set up/ maintenance, photocopying, and mail distribution.

  • Ordering/maintaining inventory list of supplies and equipment, entering requisitions for purchase orders and verifying/ denying invoices in internal; Sanofi applicable systems.

  • Maintaining of office/conference room site equipment in collaboration with other admins.

  • Coordinating department staff meetings including generating agendas, minutes and managing attendance.

  • Processing testing invoices while adhering to department budget. Providing reports and summaries as required.

  • Creating PowerPoint and Visio presentations and use of Excel spreadsheets to support data trending and reporting.

  • Overseeing organization and maintenance of department filing system.

  • Managing department communication for manager(s) including mail and email.

  • Ensuring department supply needs are met.

  • Implementing improvements on administrative procedures.

  • Periodically performing complex, specialized projects requiring strong initiative.

  • Utilizing excellent discretion and judgment when handling confidential information.

  • Provide for administrative coverage and collaboration.


  • Associates degree and 5 years administrative experience or equivalent.

  • Proven experience at the advanced level in Excel, PowerPoint, Visio, MS Word, Outlook Calendar.

  • Excellent written and verbal communication skills, with ability to clearly communicate expectations across multiple management levels.

  • Excellent attention to detail and ability to multi-task and organize.
