Role Purpose:

The Finance Administrator role is to provide comprehensive financial administrative support to CBRE’s Advisory & Transactions (A&T) EMEA leadership and centre of excellence functions.

The teams that the role will be supporting will require a mix of cost and revenue administration. The role will directly support the Consulting Team in the UK and will form part of A&T Finance support team in Warsaw. The role will involve working directly with fee earners within the business and interacting with other finance support functions.

Key Responsibilities

  • Basic knowledge of P&L and Balance Sheet GL management, running checks at month end

  • Raising Purchase Orders via myBuy and creating receipts once invoices have been received.

  • Billing support (reviewing uploaded documentation in Finishline, submitting invoices for approval, gathering missing information from the fee earners etc.)

  • Adding monthly accruals via Smartsheet and ensuring compliance with Revenue recognition guidelines.

  • Project codes requests through peoplesoft.

  • Set up and manage Clients and make Anti-Money Laundering requests.

  • Assistance with vendor set-up queries

  • Monthly revenue accruals report and review with COO and Operational teams to ensure timely billing.

  • Support the Finance team with running reports at month end

  • Sending and uploading client invoices on their portals such as: Coupa, Tungsten, Ariba, Credit Suisse, SAP Fieldglass etc.

  • Managing Finance email inbox and ensuring that client and fee earners receive replies in 24 hours.

  • Supporting CIQ queries (updating instalments, changing opportunity status, adding project IDs etc.)

  • Helping with expense queries (coding and approvals)

Person Specification/Requirements

Desired technical skills and experience

  • Attention to detail is a must (perform reconciliations, identify issues etc)

  • Previous experience in a finance administration role

  • Some Accounting knowledge

  • Invoice and supplier set up knowledge

  • Excel management skills (working with big data sheets will be an advantage)

  • Previous experience using PeopleSoft will be an advantage

  • Ability to manage several projects simultaneously

  • Communication skills (interacting with fee earners as well as other finance support functions);

  • Problem solver (solving revenue/cost issues and identifying issues in the P&L)

  • Ability to adapt and adopt new processes quickly;

EDUCATION and EXPERIENCE

Bachelor's degree (BA/BS) from a four-year college or university in a business related field. Some prior related work experience preferred but not required.

COMMUNICATION SKILLS

Strong written and verbal communication skills. Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information to supervisors and finance management.

FINANCIAL KNOWLEDGE

Requires knowledge of basic financial terms, concepts and accounting principles.

REASONING ABILITY

Ability to comprehend, analyze, and interpret financial information and the ability to accurately explain/report activity in verbal and written communications. Requires intermediate analytical skills.

OTHER SKILLS and ABILITIES

Computer skills, including specific knowledge of Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, etc.). Strong work ethic and adaptable.

SCOPE OF RESPONSIBILITY

Decisions made with understanding of procedures and company policies to achieve set results and deadlines. Responsible for setting own project deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
