The Associate Director for Finance & Operations is responsible for all matters of budget and financial analysis for a portfolio of academic departments and programs within the Georgetown College of Arts & Sciences. As the Associate Director for Finance & Operations, the portfolio of departments will consist of departments/areas with complex operations, such as life/physical sciences which require the management of complex operating budgets, graduate and PhD programs, multi-year internal research funds, and specialized research facilities and equipment. Additionally the Associate Director serves as direct support to the Senior Director of Financial Operations/Senior Business Manager, providing guidance and training to the team of assistant directors, departmental administrative staff and assists in providing functional supervision to finance and administrative teams that provide support to the College, including but not limited to the procurement and accounting teams, accounts payable and other OCFO offices, the Office of Research Services and Joint Office of Research Administration.

The Associate Director for Finance & Operations will provide operational and financial support by serving in the GMS Financials role of Cost Center Manager for a number of academic units within the College. This position will be responsible for approving transactions, ensuring compliance with promulgated university policies, as well as consistency with budget, for the following business processes: Requisitions, Expense Reports, ProCard allocations, Accounting Journals, Revenue Generating Agreements, and other relevant financial transactions. The Associate Director for Finance & Operations will independently resolve routine transactional compliance issues and provide guidance on the interpretation of policies to the financial and administrative teams. Duties include but are not limited to:

  • Serve as the main point of contact for day-to-day inquiries and requests for assistance related to matters of finance, budget, spending trends, account balance checks, etc.

  • Work with department leadership on an annual basis to determine budget needs and requests for the upcoming fiscal year.

  • Develop comprehensive annual operating budgets, aiding in the creation of subsequent budget amendments throughout the fiscal year.

  • Monitor departmental budgets, providing guidance on spending decisions in order to ensure consistency with budget, compliance with policy, and overall alignment with school and departmental strategy.

  • Work closely with the Office of Research Services (ORS) & Joint Office of Research Administration (JORA) on matters relating to sponsored activity (i.e., grants) involving faculty/PIs in the departments and programs this position serves.

  • Partner with the HCM, the Planning & Budgeting Team, and/or the Senior Associate Dean on matters pertaining to the Position Budget, both in the updating and maintenance of the budget itself, as well as auditing that compensation is charged in accordance with the planned budget.

  • Provide functional supervision to teams supporting the College, including procurement, accounting, research administration, and other administrative support teams, serving as a representative of the Senior Director or Senior Business Manager in the Senior Director’s absence.

  • Serve as the Cost Center Manager (CCM) in GMS, reviewing all financial transactions for accuracy, completeness, policy compliance, and consistency with budget; Transactions to be reviewed include, but are not limited to: Requisitions, Expense Reports, ProCard allocations, Accounting Journals, and Revenue Generating Agreement.

Work Interactions

The Associate Director for Finance & Operations reports directly to the Senior Director of Financial Operations/Senior Business Manager of the College, with whom the incumbent will work closely. This position will also work with members of the College Dean’s Office staff on matters involving budget and financial planning and analysis, including Departmental Administrative Staff, Shared Service administrative teams, the HCM team, the HR Administrator, and the Senior Associate Dean for Finance & Administration/Chief Financial Officer. The Associate Director for Finance & Operations will directly supervise a Business Operations Assistant and be responsible for hiring performance and workload management for this position. In addition to the Business Operations Assistant, this position may also be responsible for the hiring and management of student employees. The Associate Director for Finance & Operations will provide a broad range of customer service, operational, and financial support services to the various units within the College. This position interacts with many university departments, requiring excellent customer service skills and the ability to work with a wide range of constituents. These constituents include: department chairs, faculty, and administrators in 26 academic departments and 12+ interdisciplinary programs and initiatives, the Provost’s Office, the Office of Sponsored Research, Sponsored Projects Financial Operations, Accounts Payable, Payroll Services, General Accounting, Advancement, and University Financial Affairs. The Associate Director for Finance & Operations will interact with various stakeholders from the College’s units on a daily basis via phone, email, and/or instant messaging. The Associate Director of Financial Operations may also collaborate with other Financial Operations leaders from schools and administrative areas and participate with the Main Campus Financial Operations Working Group that will be coordinated and led by the Campus Director for Financial Accounting and Compliance from the Provost Finance Office.

Requirements and Qualifications

  • Bachelor’s degree required; Master’s degree in accounting/business related fields preferred

  • 5-7 years of progressive work experience in financial analysis and budgeting, preferably in a university or non-profit environment

  • Proficiency in Microsoft Office suite, or equivalent (ex. Google Apps), with a mastery of Excel (ex. Vlookups, pivot tables, etc.)

  • Excellent written and verbal communication skills with strong orientation to details

  • Experience communicating successfully with a diverse body of constituents

  • Excellent customer service skills with the ability to interpret and apply university, campus, and school policies and procedures within a complex and diverse organization

  • Ability to work independently to self-regulate and implement time management strategies in order to manage multiple projects/responsibilities simultaneously and meet time-sensitive deadlines, with little supervision

  • Familiarity with managing large volumes of data and database queries

  • Previous supervisory responsibilities and proficiency with Georgetown University systems, specifically GMS (Workday) preferred

Pay Range:

The projected salary or hourly pay range for this position which represents the full range of anticipated compensation is:

$66,783.00 - $126,720.23

Compensation is determined by a number of factors including, but not limited to, the candidate’s individual qualifications, experience, education, skills, and certifications, as well as the University’s business needs and external factors.
