National Gallery of Art Gallery Support Specialist in Washington, District Of Columbia

Summary The incumbent works in the Communications Department (DD-COM) of the National Gallery of Art (NGA), which is charged with the press relations and information activities of the museum. The primary purpose of the work is to ensure the efficiency and productivity of the integrated communications operations of the office. Responsibilities As the Gallery Support Specialist: Support chief of communications and publicists in communications/promotions planning and activations through various channels of communications. Manage RSVP list, agendas, briefing materials, and guest badges for press events. Capture, monitor, and report the media coverage of the museum, its interests, and stakeholders, and archiving the media coverage. Act as main point of contact for the department for WRIKE, ASANA, CISION, MELTWATER, and any other service/systems. Manages department contacts databases, both in the Cloud and other systems. Manage schedule and carries out submissions for all department-approved monthly/weekly event calendar media placements, both electronic and hardcopy. Maintain National Gallery and exhibition attendance files and updates National Gallery information for requesting directories. Manage all paperwork for film shoot requests and support film/photo shoots on/off campus. Provide administrative support of Chief of Communications in all matters, ranging from personnel paperwork, meeting preparations, reporting and other documents. Act as financial manager for the department, holding purchase cards as well as processing bill payments through the National Gallery’s financial management system. Qualifications Candidates must meet the Qualification Standards Handbook requirements for the GS-301-9. For this position, specialized experience is at least one year of experience, equivalent in responsibility to the GS-7, ensure the efficiency and productivity of the integrated communications operations of the office for an organization or major institution. Basic knowledge and ability to apply analytical and evaluative concepts, principles and methods and techniques sufficient to determine best practices on record-keeping, proper transaction reports, and budgeting; keep track of supplies, sort and manages materials, take care of office space, and handle mail sorting and any transaction with the mail room; and manage department contacts databases, both in the Cloud and other systems. Basic knowledge of National Gallery of Art missions, policies, and objectives and Communications Department core competencies and processes and various functions of a museum communications office. Familiarity with office management operations, personnel procedures, and project management. Familiarity with budget forecasting, budget management, bookkeeping, and financial management systems. "Experience" refers to paid and unpaid experience. Examples of qualifying unpaid experience may include: volunteer work done through National Service programs (such as Peace Corps and AmeriCorps); as well as work for other community-based philanthropic and social organizations. Volunteer work helps build critical competencies, knowledge, and skills; and can provide valuable training and experience that translates directly to paid employment.
