POSITION OPENING: Executive Assistant I

 

IN THIS ROLE:

As a detail-oriented Executive Assistant, you will support our Chief Technology and Information Officer in driving success across the organization. You'll be the key liaison, effortlessly managing communication with both internal teams and external partners, while conducting in-depth research and crafting compelling reports and presentations.

WHAT WE NEED:

  • Serves as primary support for communication within and between departments, LEA staff, and the public, addressing inquiries and providing program information.
  • Participates in planning, decision-making, and problem-solving with department members and stakeholders.
  • Leads the coordination, implementation, and documentation of department goals and priorities.
  • Acts as a confidential assistant, ensuring privacy in sensitive matters.
  • Develops and maintains departmental standard operating procedures in collaboration with the Executive Director.
  • Supports department projects by managing timelines, tracking systems, and progress.
  • Reports operational concerns to the Executive Director and recommends solutions.
  • Coordinates daily operations and supports assigned functions.
  • Manages assigned projects by setting objectives, timelines, and tracking systems.
  • Supports department meetings, activities, and events.
  • Creates multimedia presentations, materials, and brochures.
  • Prepares and coordinates contracts with independent contractors.
  • Oversees purchase orders, p-card purchases, and supply management.
  • Maintains and updates department files, records, and confidential databases.
  • Compiles department statistics and generates related reports.
  • Assists in preparing the annual departmental report under the Executive Director's guidance.
  • Executes accounting procedures for expenditures, invoices, and budgets.
  • Assists in developing and managing the department budget.
  • Performs other duties as assigned.

     

WHAT YOU NEED:

  • High School Diploma, associate's degree preferred
  • 5 years of related experience supporting executive-level management
  • Fluent in Google Applications and Microsoft Office software

SALARY DETAILS:

$24.32 - $28.19 hourly based on relevant prior work experience, with the potential to earn up to $30.35 after employment with Oakland Schools.

Non-Exempt position / 12-month work year.
