Job Description

The Naval Nuclear Laboratory (NNL) is seeking a highly motivated and detail-oriented Administrative Assistant to support our Information Technology (IT) Cybersecurity Manager and the broader IT department.  The Administrative Assistant will play a pivotal role in ensuring the smooth operation of the IT department.  Their primary responsibilities will include managing communications, preparing documentation, and providing essential clerical support. The ideal candidate will demonstrate exceptional organizational skills, strong communication abilities, and a proactive approach to problem-solving. Key responsibilities include but are not limited to: Communication Management: Screen and direct incoming calls, visitors, and emails to appropriate parties in a professional and efficient manner. Documentation and Reporting: Utilize business software applications to create and edit correspondence, reports, presentations, agendas, and meeting minutes. Clerical Support: Maintain organized files and records, arrange business travel, coordinate meetings, handle mail, and manage office supplies and equipment procurement.

Required Combination of Knowledge and Skill

High school diploma or equivalent and a minimum of 6 years of relevant experience; or Associate's degree from an accredited college or university in a related field and a minimum of 2 years of relevant experience; or Bachelor's degree from an accredited college or university in a related field.

Preferred Skills

Proficiency with Microsoft products including O365, Teams, Outlook (e.g., calendar management), Word, Excel, PowerPoint, SharePoint, Adobe, Bluebeam, and Power BI. Experience planning events (e.g., location booking, room organization, food coordination) and travel booking and preparing/submitting expense reports. Excellent communication skills including creating, communicating, and enforcing office procedures and templates for a variety of written and electronic communications. Experience with customer service, organizational, and problem-solving skills, and ability to make decisions to better organize and manage day-to-day office functions. Experience in verbal and written communication such as effective email messaging, providing instruction on office procedures, handling phone inquiries and interacting with technical and non-technical staff. Ability to work in collaborative environments across geographic boundaries.

Pay Range $50,800.00 - $76,200.00 annually Salary information provided is a general guide line only. Annual salary is based upon candidate experience and qualifications, as well as market and business considerations The Naval Nuclear Laboratory is operated for the U.S. Department of Energy (DOE) by Fluor Marine Propulsion, LLC (FMP), a wholly owned subsidiary of Fluor Corporation. Naval Nuclear Laboratory personnel are FMP employees who work at four DOE facilities: Bettis Atomic Power Laboratory, Knolls Atomic Power Laboratory, Kenneth A. Kesselring Site, and Naval Reactors Facility, and t the U.S. Department of Defense-owned Nuclear Power Training Unit-Charleston. FMP employees also have an established presence at numerous shipyards and vendor locations. For nearly 70 years, the Naval Nuclear Laboratory has developed advanced nuclear propulsion technology, provided technical support, and trained world-class nuclear operators to ensure the safe and reliable operation of our nation's submarine and aircraft carrier Fleets.
